    Office Location: Grand Rapids, MI

     

    Position Classification: Full-Time Regular

     

    About This Opportunity

     

    Rockford is looking for a motivated and enthusiastic Commercial Assistant Property Manager to oversee assigned residential properties and assist Rockford Property Managers with various tasks. You will work side-by-side with the Property Managers to maximize income while providing excellent customer service. While helping to lead the staff to meet the needs of future and current tenants, you will be expected to collect A/R, help the Property Managers with financial reporting, and assist with general day-to-day operations. This position optimizes strong interpersonal and organizational skills while working within a collaborative and fun team. This position reports directly to the Property Manager.

    Requirements

    + Foster an environment of diversity, equity, and inclusion.

    + Oversees incoming calls for properties and programs.

    + Assists with work order system including submitting, coordinating, and following up with maintenance and tenants on work orders and building needs in a timely manner.

    + Assists with A/R collections.

    + Maintains copies of current insurance certificates of all tenants.

    + Maintains current contracts and contact information for vendors.

    + Assists with data collection, reporting, budget finalization, and annual operating budgets for assigned properties.

    + Maintains tenant database including, leases, information, and files for all current and future tenants.

    + Assist with periodic inspections to assist with the proper upkeep of the properties and tenant spaces.

    + Maintain and foster positive tenant relationships.

    + Assist with purchases for the property, including maintaining inventory list and monitoring all expenses.

    + Assists as needed with programing, and special projects, including managing market data, communications, processing quotes and approvals for necessary improvements/repairs, and any other assigned tasks.

    + Assists with move in process of new tenants including, coordinate move-ins and move-outs, send move-in letters, prepare building and parking keys and access fobs, schedule janitorial services, etc.

    + Prepares routine correspondence to tenants, vendors, and team members.

    + Coordinate, assist/support, and collaborate with appropriate parties in the programing of tenant events.

    + Manage tenant conference room reservations.

    + Prepare for and attend necessary meetings for maintenance of the property and programming in correlation.

    + Participates in the daily operations of assigned properties

    Qualifications:

    + Associates degree or higher, background in business administration, real estate, property management, hospitality/tourism management, or related field.

    + At least 2 years’ experience in a professional administrative role preferred in related industry.

    + Yardi experience desired.

    + High degree of confidentiality / extreme attention to detail.

    + Ability and willingness to learn new software’s and computer systems

    + Exceptional organizational, communication, problem solving skills and business writing techniques.

    + Experience with MS Office required – Proficient in Word, Excel, PowerPoint.

    Type of Environment

     

    The work environment for this position is a typical office environment with occasional construction site visits. When in the office, the physical demands require the ability to sit for long periods of time. Intermittent movement, such as accessing centrally located office equipment, lifting of 35 lbs, bending, stooping, kneeling, and climbing, may be necessary to perform the requirements of this position. Site visits may subject the individual to hazards commonly associated with construction.
