GENERAL DUTIES
- Under supervision, performs miscellaneous clerical, administrative, research or other work related to the operation of a College or other unit where such work is required on a part-time basis or for a period of limited duration.
- There is one Assignment Level for this position. All personnel perform related work. This specification describes typical assignments; related duties may be assigned as
needed.
- Maximum tenure for any employee in this hourly position is 1040 hours per year.
- Performs routine clerical work; may answer and attend to telephone calls; maintain records,
operate office machines (such as copier), sort and distribute mail, issue keys and identity cards,
act as messenger, and perform related tasks as required.
- Types letters, memoranda, charts, and similar materials.
- Acts as cashier.
- Assists in statistical or research activities. May collect and compile data, code data for computer entry, perform data entry, and run computer reports.
- Performs clerical library work, such as sorting and shelving books, performing data entry into library systems, or binding books and periodicals.
- Assists in instructional programs, including tutoring and assisting students in areas such as reading and mathematics. May assist in speech and hearing therapy, provide musical accompaniment, and/or distribute and collect physical education equipment.
- Enters and maintains departmental records such as inventory control records, rosters, directories, and schedules.
- May operate computers, computer software, and other electronic equipment in performing assigned tasks.

CAMPUS SPECIFIC INFORMATION
The Doctoral Program in Biology is seeking the part-time assistance of a College Assistant for the administrative functions of the Program at the Graduate Center. The College Assistant will provide administrative support to the Executive Officer and Assistant Program Officer, in meeting the academic needs of students and/or faculty. Interaction will extend to subprogram chairs of each of four subprograms (Ecology, Evolution, and Behavior; Molecular, Cellular, and Developmental Biology; Plant Science; and Neuroscience). Faculty and students are located in ten CUNY senior colleges (Baruch, Brooklyn, City College, College of Staten Island, Hunter, Lehman, Medgar Evers College, New York City College of Technology, Queens, and York), at the Advanced Science Research Center of CUNY, and with affiliated institutions (New York Botanical Gardens and American Museum of Natural History). The College Assistant will work up to 20 hours per week. The duties will include:
-Assist EO/APO with administrative support to students and faculty
-Assist with update of student, faculty, and alumni databases (Microsoft ACCESS)
-Assist with preparation and follow-up paperwork for students' examinations
-Assist with monitoring and updating department listserv and website (using Drupal)
-Assist with scheduling Biology-related meetings and events
-Assist with collecting surveys via Qualtrics and Survey Monkey
-Respond to email, telephone, and in-person communication with students, faculty, and
the public
-Assist in creating newsletters and social media posts to highlight student and faculty
achievements, program news, and upcoming events
-Interact with other Graduate Center offices and programs as needed
-Other duties as assigned
MINIMUM QUALIFICATIONS
- Must demonstrate sufficient skills to perform the duties of the assigned tasks.
OTHER QUALIFICATIONS
Preferred Qualifications:
-Some college education preferred
-Previous office experience helpful but will receive instructions
-Familiarity with Microsoft Outlook, Microsoft Office Suite (including Word and Excel), and Access
-Ability to demonstrate professionalism, reliability, and be organized with attention to detail
-Willing to learn skills in office environment
-Ability to multitask, deliver consistent and high-quality work, and be collegial to supervisors and colleagues
COMPENSATION
$20.00 per hour
