Hunton Services, a division of Hunton Group, has a new and exciting opportunity for you to join our organization as a Billing & Administrative Support Specialist. This position plays a key role in ensuring the accuracy and efficiency of payroll processing, accounts payable, billing, sales support, and general administrative duties. This position supports various departments and helps maintain smooth daily operations. T he Administrative position is an on-site position at HRS located on Dixie Drive, Houston, 77087.
Responsibilities:
Payroll Support
+ Accurately enter daily payroll data in Wennsoft.
+ Review daily Work-in-Progress (WIP) reports for:
+ Rental equipment Test and Turn
+ Support with incoming service call requests.
+ Document minor equipment repairs.
Accounts Payable Support
+ Issue purchase orders (POs) for parts, supplies, and subcontractors related to rental jobs using Wennsoft.
+ Process incoming invoices via Metaviewer.
+ Respond to the monthly PO reconciliation list for all rental-related POs.
+ Set up and maintain vendor profiles, including:
+ Collecting and verifying COI, W-9, and tax exemption certificates.
Billing Support
+ Assist the Billing & Collections Specialist in invoice preparation.
+ Verify all job costs are committed, and purchase orders are received.
+ Ensure cost accuracy and reasonableness.
+ Confirm correct rental periods and job descriptions.
+ Save prepared invoices in a batch for final posting by the Billing & Collections Specialist.
Sales Support
+ Coordinate between new customers and the credit department to set up accounts.
Administrative Support
+ Greet and assist all visitors, ensuring they are directed appropriately.
+ Maintain cleanliness and organization of the workplace.
+ Sort, handle, and distribute incoming mail.
+ Answer and direct calls from the HRS mainlines in Houston and Beaumont.
+ Manage gate access for both the yard and employee parking areas.
+ Perform clerical tasks for various departments as needed.
+ Assist with planning and organizing meetings and company events.
Qualifications:
+ Experience with Wennsoft and Metaviewer systems preferred.
+ Strong attention to detail and organizational skills.
+ Excellent communication and customer service abilities.
+ Ability to multitask and manage time efficiently.
+ Familiarity with basic accounting and payroll processes.
