Description
The Executive Assistant to the Provost provides high-level administrative and operational support to the Provost, ensuring efficient day-to-day functioning of the Office of the Provost. This role involves managing complex schedules, coordinating academic affairs activities, handling sensitive and confidential information, and serving as a key liaison between the Provost and internal and external stakeholders. The Executive Assistant plays a critical role in supporting institutional priorities and promoting a professional, responsive, and efficient office environment.
Key Responsibilities:
+ Provide executive-level administrative support to the Provost, including calendar management, meeting coordination, and travel arrangements.
+ Serve as the primary point of contact for the Provost’s office, responding to inquiries, directing communications, and maintaining positive relationships with faculty, staff, students, and external partners.
+ Prepare and manage correspondence, reports, presentations, and agendas for meetings and academic functions.
+ Support the organization and logistics of key academic events and initiatives, such as commencement, faculty meetings, strategic planning sessions, and accreditation activities.
+ Coordinate Provost-led committees and task forces, including scheduling meetings, preparing materials, and recording minutes.
+ Maintain confidential files and records, ensuring accuracy and compliance with institutional policies and legal requirements.
+ Monitor deadlines, projects, and initiatives to ensure timely progress and completion.
+ Act as a liaison between the Office of the Provost and other senior leadership, academic departments, and administrative offices.
Requirements
+ 5+ years of experience in an executive assistant or senior administrative support role, preferably in an academic or nonprofit setting.
+ Excellent written and verbal communication skills.
+ Strong organizational skills with exceptional attention to detail and accuracy.
+ Demonstrated ability to handle confidential information with discretion.
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with scheduling or workflow tools (e.g., Google Workspace, SharePoint, Adobe Acrobat).
+ Ability to manage multiple priorities, take initiative, and work independently under tight deadlines.
+ Professional demeanor and ability to interact with diverse constituencies with tact and diplomacy.
