    Job Description Summary

    This role supports the research activities for the Department of Pediatrics at the University of Pennsylvania School of Medicine and the Children's Hospital of Philadelphia. Manages the sponsored program funds from pre-award through post-award while working with principal investigators on proposal development, budget development and related pre-award requirements and submission for a varied sponsor portfolio. Manages the post-award processes including monitoring and review of all charges, reconciliation of accounts, and preparation of monthly financial reports for principal investigators.

    Job Responsibilities

    + Provide pre and post award research and financial administrative support for individual investigators within department

    + Monitor grant expenditures for compliance and take or recommend corrective actions as needed. Update payroll allocations and prepare payroll reallocations as needed

    + Prepare grant applications for submission through the PennEra system, review application for completeness, track proposal through the signature process to ensure deadlines are met.

    + Provide guidance to faculty and staff concerning electronic submission of grant activities.

    + Preparation and submission of Research Inventory System (RIS) and effort reports.

    + Enter budget awards and account set-up.

    + Process, approve and monitor budget journals, manual journals, accounts payable, purchasing and travel reimbursements and review all sponsored projects expenditures including fund projections.

    + Prepare monthly analysis and manage grants through close-out.

    + Produce and distribute specialized research related financial reports for investigators. Meet with PI's regularly to review their Sponsored Program portfolio.

    + Advise faculty within department on extramural, university and school research administration.

    + Manage post award activity for department in accordance with university policy.

    + Act as liaison to the University Office of Research Services and PSOM's Office of Research Support Services.

    + Serve as on-site Human Resources liaison and other related personnel activities. Work with HR team to ensure accuracy of salary distributions and other payroll related issues.

    + Responsible for full oversite of sponsored awards, financial management, accounting, purchasing, payroll allocation and general administration.

    + Work independently and actively participate in specific projects, including the annual budget submission.

    Qualifications

    + Bachelor of Science and 3 to 5 years of experience of per and post grants award experience or equivalent combination of education and experience is required. Experience with NIH and other federal granting agencies is required. Proficiency with Microsoft, Excel, Adobe, and Business Objects. Excellent critical thinking, analytical, verbal, and written communication is required. Working knowledge of Uniform Guidance is required. Ability to apply solid organizational and time management skills to deadline driven, multiple priority work environment is required. Familiarity with Penn Sponsored Research policies and related financial system is preferred.

    Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job’s level. Internal organization and peer data at Penn are also considered.
