This purpose of the Account and Finance Department is to administer the accounting functions of the University in accordance with state, federal, and institutional rules, regulations, and procedures.
Description of Job
This position is .25FTE not to exceed 10 hrs. per week.
Primary Job Duties
The positions works with the Controller of Sponsored Programs to assist with various accounting functions, reconciliations, and reviews such as:
Payroll organization, data entry, review, and reconciliation
+ Organize necessary information for data entry and review of payroll on a monthly basis for accuracy in costing and dollar amounts to be paid.
G5 federal cash request and reconciliation
+ Order federal cash on an as-needed basis. Keep G5 site up-to-date with University information for specific awards.
Grant scholarship review and reconciliation
+ Reconcile grant scholarships to information obtained from department. Reconcile and differences by contacting relevant campus departments.
Review and approve Grant Manager Workday in-box items
+ Review Grant Manager Workday In-box for accuracy of data input and costing follows grant guidance for spend category expenses.
Monthly ad hoc bank transactions and deposits for grant checks
+ Deposit grant/grant related checks into workday with correct costing and prepare/reconcile deposit per Student Services process.

MINIMUM QUALIFICATIONS:
Experience Only:
Two (2) years of relevant experience in an occupation related to the work assigned to this position
OR
Education and Experience:
A combination of related education and/or relevant experience in an occupation related to the work assigned equal to two (2) years
PREFERRED QUALIFICATIONS: The preferred candidate will have experience with as many of the following as possible:
Experience with ERP systems.
Excellent interpersonal skills.
Strong organizational skills.
Outstanding customer service.
Detail oriented.
Experience with MS Office Suite.
REQUIRED COMPETENCIES:
Strong problem solving skills
Ability to work independently
Ability to make pertinent decisions with autonomy
A successful candidatewill demonstrate responsible professional conduct at all times; will be punctual and observe scheduled work hours; will not abuse leave and will follow call-in procedures. the successful candidate will also follow safety guidelines and use personal protective equipment, when required.
Note: Although this position is non-exempt for FLSA, it is a condition of employment at Adams State University to agree to receive compensation time in lieu of overtime pay.
*Years of experience will be expressed in terms of full-time equivalent service with full-time workload equal to one (1) Full-Time Equivalent (FTE) year. No more that 1.00 FTE year may be credited in any twelve (12) month period. Positions working 40 hours or less per week will be pro-rated (30 hrs/wk=0.75 FTE=9 mos credit; 20 hrs/wk=0.5 FTE=6 mos credit; 10 hrs/wk=0.25 FTE= 3 mos credit.)*
