Description
As a member of the Accounting Department, the Billing Manager is responsible for managing the billing team and daily operations of the billing function. The Billing Manager provides support to Billing Supervisors and staff. Works closely with our Director of Billing to build best practices ensuring the timely processing of client billing.
ESSENTIAL FUNCTIONS:
+ Manage and oversee the billing function, ensure that monthly billing is completed accurately by specified deadlines.
+ Oversee the daily operations of the billing team to ensure quality of work product and ensure the billing team is meeting firm and attorney expectations.
+ Ensure compliance with individual client billing guidelines including e-billing requirements and alternative fee arrangements.
+ Resolve attorney issues by collaborating with attorneys; escalate complex issues to the Director of Billing, as needed.
+ Work closely with billing supervisors to provide constructive feedback to resolve processing concerns.
+ Identify complex or high-profile billing challenges and inform the Director of Billing.
+ Evaluate staff and provide mentoring to ensure billing processes and protocols are consistently followed.
+ Establish clear goals and expectations, monitor progress, and implement strategies to improve efficiency and accuracy.
+ Evaluate current processes and make recommendations for improvements.
+ Work with Billing Supervisors to evaluate workloads, determine appropriate staffing, and institute secondary back-up coverage plans.
+ Work closely with the Director of Billing to manage positive changes, implement strategies for continuous improvement, and client service excellence.
+ Communicate at all levels effectively to promote collaboration and partnership to solve issues and make recommendations to leadership.
ADDITIONAL FUNCTIONS:
+ Manage processes for WIP review for departed attorneys.
+ Conduct unbilled inventory maintenance and report items of concern to Director of Billing.
+ Work with Billing Supervisors relating to software or bill template changes and coordinate with outside vendors.
+ Other duties and projects, as assigned.
QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES):
Education:
+ Bachelor’s degree in Accounting, Financial Analysis, Management, or related field, preferred. High school diploma or equivalent required.
Experience:
+ Minimum of 7 years of legal billing experience, with at least 3 years in a supervisory or managerial role.
Knowledge, Skills, & Abilities:
+ Experience with billing systems such as Elite 3E, Aderant, or similar platforms.
+ High degree of proficiency MS Office Suite and MS Excel.
+ Strong organizational skills and attention to detail and follow through.
+ Proven leadership skills with the ability to build strong relationships, instill trust and respect across the department.
+ Ability to think critically and think out solutions independently.
+ Exceptional verbal and written and oral communication skills.
+ Demonstrated ability to interact with attorneys, staff, and co-workers professionally and cooperatively within the firm as well as with clients.
+ Ability to defuse tense situations.
+ Must be self-directed and able to thrive in a busy, time-sensitive environment.
+ Ability to handle setting/changing priorities, multi-task and oversee various concurrent projects in a fast paced, deadline-driven environment.
+ High ethical standards and a commitment to maintaining confidentiality.
+ Demonstrates a strong commitment to client service excellence.
WORK ENVIRONMENT & PHYSICAL DEMANDS:
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
PHYSICAL REQUIREMENTS
Sedentary work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects up to 10 pounds. Work involves sitting most of the time. Walking and standing is often necessary in carrying out job duties.
VISUAL ACUITY
Worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
