Position Summary:
As a key member of NJIT's Office of Research, the Research Administrator is responsible for all administrative aspects of sponsored research activities. This role requires a thorough understanding of the entire grant lifecycle, from proposal development and compliance review to direct submission and award administration, with a strong emphasis on setting up subawards and vigilant monitoring. The specialist serves as the primary administrative liaison, ensuring that all aspects, particularly subrecipient agreements and their ongoing compliance, align with all relevant regulations. They also serve as the primary point of contact for faculty, external partners, sponsors, and the university's expectations.
Essential Functions:
Pre-Award Support:
-Assist faculty and researchers in identifying funding opportunities from federal agencies (e.g., NIH, NSF, DOD), foundations, and other sponsors.
-Initiates and oversees the preparation and submission of proposals for external funding, assists faculty in developing budgets, budget narratives, supporting documents, and
all duties related to the pre-award process, utilizing NJIT’s Streamlyne platform for proposal development.
-Our customer service-oriented approach drives our pre-award support. We thoroughly review all incoming awards and sponsor documentation to ensure compliance with federal regulations, university policies, and sponsor guidelines.
Collaborative Engagement:
-Through collaborative efforts, our team prepares and negotiates all essential documents (e.g., subrecipient agreements, amendments, consultant agreements), streamlining the award processing, acceptance, and setup. Additionally, we ensure a seamless transition to post-award management by reviewing reporting requirements, rebalancing budgets, and coordinating with NJIT’s General Counsel to secure legal consent, as well as collating all necessary administrative compliance documentation.
-Actively updates skill sets and certifications, such as maintaining regular certification compliance with platforms like the Collaborative Institutional Training Initiative Program (CITI).
-Demonstration and proactive understanding of essential electronic systems, including eRA systems, Microsoft Office Suite software, including word processing, spreadsheets, presentations, and Adobe applications.
-Ability to be flexible and adaptive to changing priorities and complex challenges in a fast-paced research environment, juggle competing priorities, and meet required deadlines.
Prerequisite Qualifications:
-Bachelor's Degree.
-2-4 years of Relevant Experience in research administration, grant and contract proposal preparation, and submission is required.
-Project Management: Ability to work independently and as a team member, research and resolve problems, meet deadlines, and follow through on assignments with minimal direction.
-Knowledge of the processes, online systems, and operations of the leading federal funding agencies, such as NSF, NIH, DARPA, DoE, and DoD.
-Experience developing and delivering training sessions and workshops to enhance faculty knowledge and expertise in research administration and proposal development.
-At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
Preferred Qualifications:
-Three years of demonstrated experience in research contract and grant management.
-Certification in Research Administration (CRA, CPRA, CFRA, or similar).

Salary Information:
In compliance with the NJ Pay Transparency Law, the negotiated annual salary range for this position is $70,089.77-$131,210.76 (USD). NJIT considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as, market and organizational considerations when extending an offer. This pay range represents base pay only and excludes any additional items such as incentives, bonuses or other items.
