    ABOUT THE DEPARTMENT:

    Deschutes County Health Services supports over 400 staff in Behavioral and Public Health programs working to promote and protect the health and safety of the community in a broad variety of community-based settings.

     

    Deschutes County Behavioral Health (DCBH) is the Community Mental Health Program providing safety net and core clinical services for community members in Deschutes County dealing with mental health and substance use conditions. DCBH is also a Certified Community Behavioral Health Clinic (CCBHC). As such, DCBH relies on multi-disciplinary teams to provide innovative, evidence-based, recovery-oriented services in behavioral healthcare settings co-located with physical health providers.

    ABOUT THE JOB:

    The Administrative Support Specialist delivers essential administrative services within a dynamic team of professionals for the South County Hub. The South County Hub provides comprehensive services to adults, children, adolescents, and families. We utilize an integrated approach that treats co-occurring mental health and substance use disorders, partnering with medical providers to support the whole health needs of the people we serve.

     

    This position is primarily based in La Pine, though travel to and working at other sites in Bend, La Pine and Redmond will be required on occasion. A typical schedule preferred for this position is Monday through Friday, 8am-5pm, although schedule options can be discussed.

    Key Responsibilities:

    + Plans and coordinates administrative support functions and technical support services; provides administrative management of sensitive and confidential issues; exercises initiative and independent judgment in performing administrative functions; applies specific knowledge of County policies and procedures in order to organize and coordinate work.

    + Works independently, and makes appropriate decisions based on work experience and training; applies judgment to resolving problems, analyzing data, and making decisions; tracks Department issues and assures the effective communication of operational information; duties may vary according to job assignment.

    + Completes special projects and assignments where judgment, knowledge, and interpretation of County policies, procedures, and regulations are necessary; responds independently to inquiries, and resolves problems and customer service inquiries within scope of authority.

    + Manages assigned special projects for Department programs; assists with case management, and reviews and edits technical records; researches and compiles a variety of informational material from external and internal sources into narrative and statistical reports for special projects and technical issues.

    What You Will Bring:

    Knowledge of or experience with:

    + Creative thinking for improving efficiency and streamlining processes.

    + Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook, Teams) for document creation, data management and communication.

    + Techniques for dealing with the public, in person and over the telephone.

    + Principles and practices of file management, accounting/bookkeeping, record keeping, case management, and records management.

    Skill in:

    + Working independently, and making appropriate decisions based on work experience and training; applying judgment to resolving problems, analyzing data, and making decisions; tracking Department issues and assuring the effective communication of operational information; duties may vary according to job assignment.

    + Entering data and numerical information into a computer system with speed and accuracy, and maintaining electronic records, files, and databases.

    + Establishing and maintaining cooperative working relationships with co-workers.

    + Using initiative and independent judgement within established procedural guidelines.

    Compensation

     

    $4,480.39 to $6,004.15 per month for a 172.67-hour work month plus a 10% differential for those assigned to the La Pine location. Excellent County benefits package when eligible. This union-represented position is available immediately.

    Minimum Qualifications

    + High school diploma or GED equivalent;

    + AND four (4) years of administrative support experience;

    + OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the essential functions of the job.

    Preferred Qualifications:

    + Bilingual in English and Spanish language.

    + Knowledge of EHR software, specifically the EPIC/OCHIN platform.

     

    Necessary Special Requirements

     

    Driving is a requirement for this position. Possession of or ability to obtain a valid Oregon driver's license within 30 days of hire date. The employment offer will be contingent upon presentation of an acceptable and verifiable driver's license, pre-employment screening for criminal history, driving history, and controlled substances (NOTE: Positive test results for marijuana use may result in rescission of a contingent offer of employment). This screening must be completed with satisfactory findings in order for a formal offer of employment to be extended.

     

    Must have dependable transportation and be able and willing to drive throughout Deschutes County in sometimes adverse weather conditions.

     

    Must be willing to work a flexible schedule when necessary, to meet client and department needs.
