Purpose:
Administers the daily activities of all employee transportation Maintains data regarding program requirements, enrollment, and related activities and provides reports. Functions as a resource to all staff regarding programs and administrative processes for maintaining them. Maintains operation of all pay stations including collection and reconciliation of all revenues.
Responsibilities:
+ Maintains data regarding parking activity such as enrollment and changes. Ensures that accurate and up-to-date information is maintained securely. Coordinate processes for signing up and changing transportation program options
+ Answers, screens, and routes incoming calls and messages regarding parking from staff and visitors.
+ Work effectively with other departments to ensure that patients' and visitors' expectations are met.
+ Administer the day-to-day aspects of all employee transportation programs including on-site/off-site parking programs, carpooling, vanpooling, bicycling, etc. Prepare and provide information regarding transportation options to employees or other interested parties. Ensures that employees and others working onsite are informed of various programs and options.
+ Reviews administrative procedures and interprets them for employees. Maintains various accounting and budgetary records (i.e., completes expense reports).
+ Perform periodic audits on all cashiers for possible abuse. Monitor cashier functions, and balance daily cash collection shift reports.
+ Orders all departmental supplies and capital equipment. Prepares and submits invoices. Processes all hospital requests for special parking arrangements and special events and processes all departmental cost transfers.
+ Train cashier staff in the operation of cashier stations, as well as both departmental policies and procedures (validation stamper's/stickers, discounted parking, etc.) and applicable policies and procedures.
+ Collects, compiles, and analyzes moderately complex data and information. Composes straightforward written descriptions of results. Researches, drafts, and/or abstracts reports (i.e., conduct initial research to gather information for Supervisor regarding topic of interest).
+ Maintain daily departmental audit of parking revenue by accurately inputting data from all garage shift and deposit reports, reconcile these reports at the end of each month within a database, and follow up by reporting all deposit discrepancies to the parking operations manager.
+ Maintain schedule and all PTO requests including overtime tracking.
+ Prepare daily and monthly reports of operations.
High school diploma/GED and 5 years of experience in customer service-oriented operations OR an Associate's degree and 3 years of experience OR a Bachelor's degree and 1 year of experience. Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software Ability to use applicable MS Suite products Working knowledge of business processes and procedures Knowledge of basic accounting and financial principles and functions Ability to analyze data and use basic reasoning skills. Ability to coordinate projects, manage tasks, establish priorities, make decisions and follow through on issues to resolution is required. Detail oriented. Excellent time management skills. Excellent written and verbal communication skills. Dependability and professionalism.
