    POSITION SUMMARY

    Reporting to the Vice President of Development (VP), the Development Operations Associate serves as a key member of our team, partnering directly with the VP to drive organizational excellence. This role combines strategic database management with hands-on operational support across multiple functions. The Associate streamlines our administrative processes, manages donor and customer relationships through our CRM system, and strengthens our program delivery through operational support. The focus of this role is to process and acknowledge donations, manage the development database and donor data, conduct research and analysis to aid in donor prospecting and stewardship, assist with events, own smaller donor events, and provide other operational support to the Development team.

     

    The ideal candidate for this position brings a strong interest in operational excellence; enjoys data processing and analysis, and a blend of routine tasks and periodic project work; and is comfortable working collaboratively in a fast-paced environment. Strong candidates will have demonstrated the ability to produce high-quality work in a timely manner, identify trends, and glean insight from data, communicate and coordinate effectively with myriad stakeholders, and fluidly pivot between multiple responsibilities.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    + Works closely with VP of Development and others to plan, manage, and analyze a comprehensive fundraising calendar that integrates face-to-face solicitation, special events, annual fund campaigns (print and digital), special campaigns, grant management, and other activities as appropriate.

    + Is primarily responsible for timely and accurate entry in the donor database, maintaining clean and up-to-date donor records, and producing donor-centered acknowledgements

    + with adherence to vigorous standards, including quick response to gifts, accuracy, and excellent record-keeping.

    + Oversees and regularly uses CRM to maintain accurate records, track cultivation and solicitation efforts, segment for campaigns, and analyze progress toward goals. Generate donor reports as needed.

    + Support strategies and activities to ensure proper donor acknowledgment, recognition, and stewardship.

    + Serve as the primary point of contact within the department for donor inquiries about process logistics for giving. Triage and respond to inquiries as received.

    + Assist with data analysis and research of new funders and donor prospects.

    + Assist with fundraising events as needed, such as:

    + Manage and coordinate small development events including, but not limited to, house parties, peer-to-peer fundraisers, and young professionals’ events.

    + Assist the event consultants in the planning of the annual gala.

    + Assist with the project management of the Golf Outing.

    + Lead, with buy-in and support from the VP, the annual appeal campaign.

    + Aid in preparing data and materials for departmental and board meetings.

    + Support the development team as administrative staff, including answering phones, opening mail, completing administrative tasks, and supporting fundraising volunteers as needed.

    + Coordinate with the marketing team on appeals, mailings, invitations, etc.

    + Special projects and other tasks as assigned by the VP of Development.

    COMPETENCIES

    + Strong aptitude for data processing and leveraging data in reporting and analysis.

    + Highly proficient in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and SharePoint.

    + Strong verbal and written communication skills; self-confident and articulate; motivated self-starter.

    + Ability to multitask and support multiple people with different projects simultaneously.

    + Computer literacy, comprehensive knowledge of computer software applications such as Microsoft Word, Excel, PowerPoint; experience with donor management database systems; ability to learn new technology quickly.

    + Strong organizational skills with proven ability to effectively prioritize tasks, work well under pressure, and deliver against tight deadlines.

    + Keen attention to detail, high-quality output, and responsive communications.

    + Ability to manage and maintain confidential and sensitive information.

    + A track record of working well with colleagues and stakeholders at all organizational levels.

     

    EDUCATION and EXPERIENCE

     

    + Bachelor’s Degree required

    + At least two years of success in fundraising or operations
