Position Description
This is a Civil-service position in the Nashville Public Library. The Office Support Specialist 2 provides direct and confidential administrative support to the Assistant Director of Branch Services, and works closely with regional and branch managers across the system. The role requires exceptional organizational, communication, and technical skills to manage projects, coordinate meetings, maintain records, and ensure effective communication across the Branch Services division. This posting may be used to fill other administrative support positions when they become vacant.

Typical Duties
+ Coordinate daily administrative operations for the Assistant Director for Branch Services, including managing calendars, scheduling meetings, and preparing communications.
+ Compile, analyze, and present data using Excel and Word.
+ Prepare reports, charts, and presentations for internal and public-facing use.
+ Serve as liaison between the Assistant Director and branch/regional managers for logistical, scheduling, and project-related matters.
+ Assist in preparation and monitoring of budgets and financial reporting.
+ Attend and document department and system-wide meetings at multiple locations.
+ Maintain accurate records of minutes, decisions, and follow-up actions.
+ Maintain filing and tracking system for projects, correspondence, and reports.
+ Handle inquiries and resolve minor complaints with discretion and professionalism.
+ Coordinate special projects as assigned, including assisting with staff events, reporting, or planning initiatives.
+ Other duties or special projects as may be assigned.
Minimum Qualifications
High School Diploma or equivalent and five (5) years of increasingly responsible clerical/administrative experience.
*Additional education will be considered in lieu of experience.
LICENSES REQUIRED:
Valid Driver License may be required for some positions in this classification.
Candidates with accreditations earned in a foreign institute are encouraged to apply.
Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.
Preferred Experience, Knowledge, Skills, and Abilities
+ Experience supporting senior leadership in a library, government, or nonprofit environment
+ Familiarity with library operations and public service models
+ Demonstrated proficiency in computer applications to include Microsoft Office Word and Excel
+ Bilingual language skills
