    Key Responsibilities of this highly responsible, public-facing position:

    Meeting & Event Coordination

     

    + Schedule and organize external meetings, site visits, public engagements and community events involving executive leadership and stakeholders.

    + Manage logistics such as venue selection, A/V needs, attendee outreach and materials preparation.

    + Coordinate internal preparation for meetings, including briefing packets, agendas and talking points.

     

    Travel Planning & Logistics

     

    + Arrange all aspects of travel for executive leadership, including transportation, lodging, and itineraries.

    + Prepare detailed travel packets with agendas, contact lists, background information, and directions.

    + Track and adjust travel plans as needed in response to schedule changes or emerging needs.

     

    Stakeholder Engagement Support

     

    + Maintain updated contact lists of community leaders, government officials, partners and vendors.

    + Serve as a point of contact for coordinating communications and follow-ups with external stakeholders.

    + Support relationship tracking and engagement through stakeholder management systems.

     

    Administrative Support

     

    + Maintain calendars for the agency, prioritizing and coordinating competing scheduling requests.

    + Track deadlines, RSVPs, and action items to ensure timely follow-up and execution.

     

    Other Duties as Assigned

    Required Knowledge, Skills, and Abilities:

    + Ability to follow directions and work under a minimum of supervision.

    + Possess the technical knowledge as well as the verbal and writing skills needed to effectively communicate with Division staff and clients in a timely manner.

    + Ability to properly use the rules of grammar and punctuation.

    + Possess the technical knowledge as well as the verbal and writing skills needed to effectively research topics and write articles or prepare information for dissemination.

    + Possess the skills needed to ensure that products are of high quality and meet the stated objectives within assigned time frames.

    + Ability to seamlessly adapt to rapidly changing priorities and accelerated deadlines.

    Qualifications:

    As a condition of pre-employment eligibility, a Level 2 security background screening is required, which consists of fingerprinting and a check of local, state, and national law enforcement records.

    Minimum:

    + Duties and responsibilities of this position must be performed at the official work site of the Department.

    + Travel will be required, including nights and occasional weekends.

    Preferred :

    + Bachelor's degree in a related field and at least one (1) year of related professional experience.

    Pay:

    $55,000.00 - $65,000.00 Annually
