This Administrative Coordinator 4 will serve in the Region 8 Parish Health Unit in the Office of Public Health. The units provide personal and environmental health services including but not limited to Family Planning, Immunization, Sexually Transmitted Diseases (STD), Tuberculosis (TB), Women, Infant and Children Supplemental Food Program (WIC), HIV, Child Health, Children’s Special Health Services (CSHS), Genetics Program, Epidemiology, Nutrition, Adult Health, Vital Records, Sanitarian Services, Medicaid Eligibility, and Voter Registration (Motor Voter).
AN IDEAL CANDIDATE SHOULD POSSESS THE FOLLOWING COMPETENCIES:

Following Policies and Procedures: The ability to comply with policies and procedures of the organization as well as State Civil Service rules, and all applicable federal and state laws.
Minimum Qualifications
Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
The duties and responsibilities of this position include but are not limited to:
+ Independently and professionally performs several duties simultaneously in an administrative capacity while performing clinic duties in the absence of adequate staff.
+ Responsible for determining programmatic and financial eligibility for all programs administered by the Office of Public Health based on detailed knowledge of federal and state laws, policies, program regulations, procedures and guidelines.
+ Supervise training and orientation of new staff, as well as training for any new policies and procedures. Assign staff for clerical coverage in all clinics and monitor for smooth operation. Perform clinic duties in the absence of staff in admitting patients to clinic, determining financial eligibility according to State and Federal guidelines.
+ Review medical records for accuracy and completeness. Monitor data entry for correct patient medical and financial information. Collect fees and issue receipts, make deposits. Assure security of WIC drafts. Maintain record system according to LDH/OPH policy.
+ Applies in-depth knowledge of vital records laws and current fees to render accurate information to customers and/or general public in obtaining certified copies of birth, death, and delayed birth certificates. Reviews birth/death/fetal death certificates from hospitals, funeral directors, midwives, home births, etc. for accuracy and completeness. Responsible for quality control for all certificates. Accepts correct certificates and rejects incomplete/incorrect certificates. Reviews for accuracy and completeness, other legal documents in accordance with state laws governing preparation. Ensures confidentiality of records. May notify coroner of sudden deaths. Issues burial-transit permits to funeral directors for deaths (including stillbirths). Issues certified copies of death certificates using pre-numbered bank notes in numerical order. Personally responsible for security of said notes. Indexes and forwards certificates by certified mail to the State Registrar of Vital Records for filing.
+ Assists with shelter operations during emergencies and/or disasters.
