Job Announcement

Provides the day-to-day administrative support for the School Health Division to ensure the efficient operation of the d ivision. Manages and coordinates key administrative functions including scheduling substitute coverage for health room staff, supporting the recruitment of new staff through scheduling interviews and preparing interview materials. Additionally, the role includes scheduling training sessions, managing supply orders and ensuring the logistical and clerical needs of the division are met. Supports the administrative functions of the Medica Services Review Team (MSRT) program, contracted nursing services, and orientation. Functions in a timekeeper role to support the division staff with time entry related activities in accordance with county and HDHR protocol
Note: The assigned functional areas of the position are general administrative support, office management, word processing, data entry, reports, customer service, and/ or client management.

Knowledge of standard rules and interpretations within own functional area and a working knowledge of established methods and procedures used in related areas;
Significant nonstandard skill/knowledge is required involving production of an end product such as a report.
Word Processing/Typing
Basic skills in the use of Microsoft Word.

Basic math skills.
PC Skills
Basic skills in the use of applicable Microsoft Office Suite software.

Ability to write simple documents.

Ability to process and integrate complex data.
Interpersonal Abilities
Ability to establish and maintain effective working relationships with both external and internal contacts.
Purchasing and Accounting
Ability to perform data entry into Purchasing/Logistics Enterprise Resource Planning systems and/or Financial Enterprise Resource Planning systems in at least three functions (e.g., create shells, accounts payable processing).
Personnel and Payroll
Ability to perform routine Human Capital Management Enterprise Resource Planning system functions (e.g., process PARS, requisitions).
Executive Assistance
Ability to maintain confidentiality and be sensitive to political issues.
Employment Standards
EMPLOYMENT STANDARDS:
Any combination of education, experience and training equivalent to (https://www.fairfaxcounty.gov/hr/equivalencies-education-and-experience) high school graduation and two years of experience providing administrative support in the assigned functional area(s).
CERTIFICATES AND LICENSES REQUIRED:
+ Valid driver's license
+ Cardiopulmonary Resuscitation- CPR required within 60 days of hire
+ AED required within 60 days of hire
NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check, a Child Protective Services Registry check, a driving record check, and sanction screening to the satisfaction of the employer.
This position is emergency/essential services personnel. (Required to report for duty during inclement weather and/or other emergencies.)
PREFERRED QUALIFICATIONS:
+ Two or more years of experience performing administrative support work in a health care setting such as a health department, hospital or other medical facility.
+ Ability to work independently and collaboratively in a team environment with a proactive mindset, exercising good judgement and critical thinking skills.
+ Collaboration with interdisciplinary teams and excellent customer service with the ability to interact in a friendly, service-oriented and professional manner with both internal and external stakeholders.
+ Must communicate effectively through use of verbal, written, and electronic means.
+ Proficiency with Microsoft Office Suite, such as Microsoft Outlook, Word, Excel, and PowerPoint.
+ Experience with database maintenance, filing systems and scheduling.
+ Must have a high level of integrity and discretion in handling confidential information and professionalism in dealing with customers and colleagues.
+ Supervisory experience.
+ Experience managing budgets.
PHYSICAL REQUIREMENTS:
Job is generally sedentary in nature, and requires walking, standing, sitting (for long periods of time), and kneeling, reaching, bending, climbing stairs; may be required to lift or carry up to 25 lbs. as required for the position. Uses hands to grasp, handle, or feel. Visual acuity is required to read data from paper and on a computer monitor or other electronic device; ability to operate keyboard driven equipment and computer and use of touchscreen. Position frequently communicates and must be able to exchange accurate information with others verbally and in writing. Generally, work in an office environment yet may occasionally be required to perform job duties outside of the typical office setting. Ability to drive a motor vehicle. All duties performed with or without reasonable accommodations.
SELECTION PROCEDURE:
Panel interview and may include a practical exercise.
