Description
We are looking for a highly organized and detail-oriented Executive Assistant to support the President and Board of Directors at a healthcare organization. This Contract-to-Permanent position requires handling sensitive information, managing schedules, coordinating travel, and ensuring seamless communication on behalf of the President. The role also involves facilitating board meetings, preparing documentation, and maintaining administrative excellence.
Responsibilities:
• Provide comprehensive administrative support to the President, including managing schedules, prioritizing communications, and coordinating daily activities.
• Organize and oversee executive travel arrangements, ensuring all logistics are handled efficiently.
• Assist in preparing and reviewing documentation for financial transactions, such as check requests, invoices, and wire transfers.
• Coordinate board meetings, including scheduling, preparing meeting materials, and distributing relevant information.
• Attend board meetings to record minutes and ensure timely approval of documents and resolutions.
• Prepare reports, resolutions, and other documentation required for the President and Board of Directors.
• Work closely with business units to provide support on various tasks as directed by the President.
• Ensure timely and accurate assembly of ad hoc information requested by leadership.
• Handle confidential matters with discretion and professionalism, acting independently in the President’s absence when necessary.
• Assist in month-end closings and support the annual audit process.
Requirements • Proven experience as an Executive Assistant, preferably supporting high-level executives.
• Proficiency in calendar management and scheduling of executive activities.
• Strong skills in arranging and coordinating travel plans for executives.
• Ability to prepare and manage documentation, including board packages, resolutions, and meeting minutes.
• Excellent organizational and multitasking abilities to handle competing priorities.
• High level of discretion and professionalism when managing sensitive information.
• Strong communication skills, both written and verbal, to interact effectively with stakeholders.
• Familiarity with financial processes, such as reviewing invoices and check requests, is a plus. TalentMatch®
