    *This is a promotional posting open only to current permanent classified employees of LSU Health Sciences Center - Shreveport.*

     

    The Administrative Assistant 5 position is a highly responsible and complex role, providing specialized administrative support to the Cardiothoracic Division of General Surgery and the office of the Chairman of the Department of Surgery who also serves as the Chief Executive Officer of the Ochsner LSU Practice Group (OLPG). The individual in this position will manage the Chairman’s diverse responsibilities, including coordinating local, departmental, community and national duties. The role involves maintaining complex calendars for both LSU Health Shreveport (LSUHSC) and Ochsner LSU Health and requires extensive coordination of administrative duties related to clinical activities, teaching, research, and official university, hospital, and national positions. The position demands strong time management, communication and organizational skills, a high degree of independent judgement and the ability to prioritize tasks. The incumbent must also work collaboratively with other LSUHSC and Ochsner LSU Health personnel. The Administrative Assistant 5 will also work closely with the Business Manager on administrative matters, including preparing travel and requisition approvals, reimbursements for licenses and memberships, and organizing interview itineraries and faculty candidate dinners. Additionally, the role supports the Division of Cardiothoracic Surgery and other departmental faculty as needed, all within a clinical department that has faculty with heavy patient care, medical teaching, and research responsibilities. This position offers the opportunity to make a significant impact in a fast-paced academic medical environment and is ideal for someone with strong administrative skills, attention to detail, and a capacity for managing complex schedules and tasks. Regular attendance is required to perform the essential duties of this position. The position requires a customer-oriented approach in acknowledging and responding to needs to ensure customer satisfaction.

    Minimum Qualifications

    Four years of experience in administrative services.

    EXPERIENCE SUBSTITUTION:

    Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

    Job Duties:

    The individual must possess these knowledge, skills and abilities or be able to demonstrate the ability to perform essential functions of the job, with or without reasonable accommodation, and to meet the necessary physical requirements with or without the aid of mechanical devices:

    + Act as the first point of contact for visitors and calls, utilizing independent judgement to prioritize non-routine and emergency calls from referring physicians, hospital administrators, patients, and others.

    + Collaborate with the Business Manager on administrative, financial and HR matters.

    + Serves as administrative support to department divisional decision-makers, including administrators.

    + Review and screen Chairman’s calls, assuming responsibility for routine requests.

    + Meet regularly with the Chairman for reporting and review of departmental directions.

    + Assist Chairman with administrative duties related to national and regional committees, including travel arrangements and financial documentation according to policy and the nature of travel.
