    This coordinator position will work across all Tech Platform Programs teams including Core, Applications, and Technical Program Management supporting multiple executives and processes to meet the needs of work partners in Product Development, Program teams, Finance, Purchasing and Manufacturing, among others.

    What you'll do…

    + Manage executives’ daily schedule and appointment calendar, meeting notices and agendas, and prepare material for day(s) ahead. Monitor cadence meeting agendas and advise executive when attendance is required.

    + Resolve scheduling conflicts in a timely manner and issue new meeting notices, often involving global personnel / locations and use of Teams technologies.

    + Act as Share Point Site administrator: create and maintain materials stored there including organizational charts, department vacation calendars, department records inventory matrix, meeting agendas and presentations, and other materials. Manage access requests, filing system and records retention.

    + Monitor incoming and outgoing meeting notices for content and priority, responding to scheduling changes and urgent requests or other tasks while executives are meetings or away from the office.

    + Manage department drive authorization letters, travel authorization requests, and other related approvals.

    + Coordinate FAB Card Purchases by receiving necessary requested material details & justification, obtain approvals for department expenditures, place orders with department FAB card, and manage monthly expense reporting and reconciliation for the department FAB card. Ensure expenses do not exceed daily or monthly limits and ensure security precautions are taken with corporate card information.

    + Become proficient in use of the Aurora, CPARS, and GPIRS purchase ordering systems and assist department with orders and invoice receiving.

    + Manage travel for executives (booking / arrangements and expense reporting)

    + Bulk Mail Administer to create and maintain department distribution lists and send department notifications as needed via bulkmail.

    + Create and maintain department organization charts

    + Coordinate department events as needed (i.e. recognition, all hands meetings, workshops, etc.).

    + Prepare documents as needed using the MS Office suite (Power Point, Excel, Word) and MS Project.

    + Badge Coordinator

    + Mentoring/Training – provide expertise on required department training, processes, procedures, policy

    You'll have…

    + Bachelor's Degree required

    + 5 years as an administrative assistant or project coordinator

    + Strong verbal, written, and interpersonal communication skills with a high level of professionalism.

    + Ability to interface effectively with employees at all levels including senior leadership.

    + Expert user in Outlook (email, calendar, notes), Internet/web sites, Share Point administration, Microsoft Office (Word, Power Point, Excel), and Microsoft Project

    + High integrity and successful track record of keeping Secret and Confidential information secure.

    + Well organized and able to work with minimal supervision; able to problem solve proactively and propose

    + solutions for office needs, scheduling concerns, and other issues.

    + Ability to plan, prioritize, and support multiple assignments and projects simultaneously

    + Strong attention to detail and high level of accuracy.

    + Ford Administrative Assistant or Project Coordinator experience within Product Development is preferred

    This position is a salary grade 5.
