OVERVIEW:
The Accounts Receivable Coordinator provides administrative support to the Controller in carrying out the responsibilities of the Finance/Accounting Department. Additionally, the Accounts Receivable Coordinator supports the Grants and Capital Program Manager, who is responsible for managing federal, state, and local grant-funded capital projects. This role focuses on assisting with routine tasks such as data entry, document organization, meeting coordination, and preparation of basic materials. Working closely with the Capital Program Manager, the coordinator helps ensure that documentation, records, and compliance-related processes are maintained accurately and on time. This is an excellent opportunity for someone to gain exposure to government-funded programs.
RESPONSIBILITIES:
+ Perform general administrative duties such as data entry, document formatting, printing, scanning, filing, and organizing grant-related records.
+ Maintain up-to-date internal tracking logs, calendars, and checklists for grant application deadlines, reporting due dates, and project milestones.
+ Assist in gathering background materials, forms, and supporting documents needed for grant applications and submissions.
+ Ensure digital and physical grant files are properly labeled, organized, and stored in compliance with retention policies.
+ Help compile and organize documents required for reimbursement requests, such as invoices and banking information.
+ Support data entry into spreadsheets or systems for transaction tracking and reconciliation purposes.
+ Support communication between departments by responding to basic requests for grant documentation or status updates.
+ Assist with special administrative projects, audits, or compliance reviews as needed.
+ Provide backup to other support staff during absences or peak workload periods.
+ Participate in training and professional development activities related to grants or capital program operations.
+ Assist with other duties and projects, as assigned.
QUALIFICATIONS:
+ Proven experience in accounts receivable or related financial role.
+ Ability to set priorities, multi-task, meet critical deadlines and pay attention to detail.
+ Strong analytical, problem solving and communications skills are required.
+ Must be highly skilled in dealing with financial and numeric data.
+ Working knowledge of Excel and Word.
+ Must understand and practice confidentiality of information.
+ Strong communication and interpersonal skills in order to interact with all levels of personnel including senior management.
+ Must have a willingness to work the necessary hours to complete the job, especially when important deadlines cause greater than normal departmental pressures.
