    Job Overview

     

    Air Systems Inc. is looking for a **Dispatcher** to join our **Service** team in San Jose, CA. We are seeking a full-time Service Team Member to support our service department by responding to customer service calls and assisting with project work. This non-exempt position reports directly to the Service Team Supervisor.

    Key Responsibilities

    + Schedule and dispatch technicians to job sites based on company policies and customer requests, utilizing dispatch software, email, and phone communication.

    + Accurately record and maintain service-related information, including customer requests, completed work, invoicing details, maintenance agreements, and financing.

    + Assess work orders to determine required personnel, materials, and equipment; coordinate with the Purchasing Manager to ensure technicians are fully prepared each day.

    + Address and resolve customer inquiries and complaints in a timely and professional manner.

    + Analyze information and evaluate results to identify optimal solutions and resolve service-related issues.

    + Communicate clearly and professionally with customers, vendors, and external partners, representing the organization in a positive manner.

    + Prepare and review daily work orders for accuracy; close out work orders to generate invoices and track technician payroll hours, including time confirmations.

    + Keep both customers and technicians informed of order statuses and any scheduling changes.

    + Perform customer service duties such as answering incoming calls, scheduling service appointments, following up with customers, and promoting Planned Maintenance Agreements.

    + Handle general clerical tasks including filing and administrative support for both the service and retrofit departments.

    + Provide assistance to the Service Team and Service Vice President with special projects as needed.

    Qualifications

    + Proven experience in service-related dispatch or customer service roles (2+ years preferred)

    + Strong organizational, multitasking, and leadership skills

    + Exceptional customer service and communication abilities, including a professional phone presence

    + Skilled in problem-solving using logic and reasoning

    + Ability to build rapport with field personnel and effectively navigate challenging situations

    + Proficient in Microsoft Office Suite (Excel, Word); comfortable learning new software

    + Positive, team-oriented attitude with flexibility to adapt in a fast-paced environment

    + Willingness and eligibility to work overtime during busy seasons

    + High school diploma or GED required

    Preferred Qualifications

    + Knowledge of HVAC parts, systems, and terminology

    + Prior experience as an HVAC technician, technical support, or sales in the HVAC industry

    + Previous dispatch or construction industry experience is a plus
