High Level Job Description:
The Training Assistant provides operational and administrative support to the Training Department. This important position will work closely with our Corporate Trainer to ensure that all the needs of the Training Department are met. Additionally, this role involves aiding in the administration of our training and med cert programs, ensuring compliance with all regulatory and agency requirements. Our Training Assistant must be skilled at working with students from diverse socioeconomic and educational backgrounds.
Job Responsibilities:
Administrative Tasks:
+ Maintain accurate records for all trainees, including attendance, schedules, and course requirements regarding instructional hours and content.
+ Fulfill additional student trainee responsibilities as needed
+ Maintain accurate records for all employees, including course requirements, expiration dates and applicable sign-off forms.
+ Update expiration dates for all employee training and notify HR and management of outstanding training.
+ Maintain correspondence with Management or Director levels regarding the expiration of training for their departments.
+ Answering inquiries from employees regarding class enrollment and expiration dates within a timely manner.
+ Coordinating class schedules with all Agency instructors, ensuring that all classes have adequate instructor coverage.
+ Fulfill additional administrative responsibilities as needed by Corporate Trainer and Human Resources Generalist.
+ Run bi-weekly reports to ensure compliance with all employees within the Agency. Assist with Student Training and Instruction:
+ Support with administering trainee training in a classroom setting, adhering to the Connecticut Department of Developmental Services (DDS) and Agency standards, guidelines, and regulations for DSP training programs, including CPR and PMT.
+ Support students through computer-based models, offering technical assistance, additional exercises for better comprehension, and recap discussion sessions as needed.
+ Be the direct point of contact for Trainee’s with inquiries such as call outs, timecard questions, location changes, future placement, etc.
+ Send routine emails regarding the class’s status to Human Resources.
+ Communicate effectively with students, team members, and staff from all Agency departments.
+ Maintain the maintenance of materials and ensure the appropriate upkeep of the training room including the refreshment stand, tables and chairs, training equipment.
+ Create a stimulating environment that encourages student participation, interpersonal skills development, and understanding of the qualities of a good DSP.
Med-Certification Liaison:
+ Coordinate and oversee the Med-Certification and Re-Certification process for all DDS licensed programs.
+ Ensure compliance with program requirements always.
Other:
+ Promote the mission of the DSP Program in a positive manner with all staff, participants, and a consistent exchange of information in a transparent and collaborative environment.
+ Participate in regular meetings as needed and communications with program partners to collaborate, align instruction, monitor student progress and identify issues they may have while attending classes.
+ Perform other special projects / assignments as needed.

Qualifications
+ Must be at least 18-years old with a high school diploma or equivalent
+ Bilingual (English and Spanish) a plus
+ Must have a solid command of online training software and HRIS systems (i.e. Paycom)
+ Must have a solid command of Microsoft 365 not limited to Excel, PowerPoint, SharePoint, Word, and Outlook
