Required Qualifications
+ Proficient in utilizing Texas State systems, including, but not limited to, SAP , Banner, Cats Web, Concur Travel, TSUS Marketplace, Logi, as well as MS Office Suite with strong administrative capabilities
+ Skilled in high-level administrative support and office management
+ Experience with Texas State’s budget and accounting practices regarding budget reconciliation
+ Strong verbal and written communication skills, adept at drafting, proofreading, and editing correspondence
+ Excellent organizational skills with sharp attention to detail and time management
+ Proven ability to manage multiple projects efficiently and deliver results on time
+ Delivers exceptional customer service with professionalism and high degree of confidentiality and discretion
+ Demonstrated ability to work independently and collaboratively in fast-paced environment

+ Experience managing audit and data security reviews in compliance with institutional, state and federal policies
+ Proven ability to supervise and evaluate subordinates
+ Proficient with PeopleAdmin and Dynamic Forms for HR and workflow processes

+ Proficient with creating purchase orders, e-NPOs, and TXST Marketplace
+ Ability to interpret and act on complex administrative policies and procedures
+ Flexible and adaptable with a track record of effectively handling additional responsibilities as needed
Job Description
Reporting to the Assistant Vice President of Financial Aid and Scholarships and the TXST One Stop, theSenior Administrative Assistantprovides high-level administrative support to the Assistant Vice President and leadership teams. This role is vital to the smooth and efficient operation of both offices in a fast-paced, dynamic environment. Key responsibilities include managing confidential information, supporting office functions, serving as a liaison and representative of leadership to staff, students, families, external partners, and senior campus officials. The position demands strong organizational, technical, and interpersonal skills, as well as a high level of professionalism and adaptability.
Job Duties
TheSenior Administrative Assistantsupports the efficient operation of the Financial Aid and Scholarships and TXST One Stop offices by managing daily administrative functions, overseeing staffing procedures, and ensuring high-quality correspondence. Key responsibilities include coordinating office operations, maintaining calendars, organizing meetings and events, handling travel and supply requests, and managing due dates for assignments. The role also involves supervising administrative and systems support staff, preparing reports and spreadsheets, maintaining files, and serving as the office timekeeper. Additionally, the position advises leadership on improving office efficiency and effectiveness.
