Overview
*This is not a fully remote position. On-site presence required as needed to support operational workflows, particularly when in-person clinic support is necessary*
**Purpose Statement/Position Summary:** The Patient Services Rep II provides patient-families with a positive experience at CHLA by performing clerical tasks primarily associated with answering incoming calls, registration, and patient check-in/out procedures, collection of patient co-pay or deductibles, scheduling and verifying patient appointments. Completes financial clearance and authorization duties, serves as the administrative support for assigned providers. Works closely with assigned providers to ensure follow up care is completed. Assists with creation and review of divisional performance reports and metrics. This role requires strong organizational skills, attention to detail, and effective communication to manage a variety of clerical duties such as patient encounter creation, referral documentation, and insurance verification.
*Note: This is a hybrid position. While some responsibilities may be completed remotely, on-site presence will be required as needed.
Key Responsibilities:
• Call Management:
o Manage inbound calls from multiple extensions, ensuring proper routing to the appropriate departments.
o Respond to voicemails and follow up with staff or departments as needed.
• Eligibility Verification & Encounter Creation:
o Conduct eligibility checks using state portals.
o Create and manage patient encounters across a range of specialty clinics.
o Adjust workflows to match monthly fluctuations in enrollment activity.
• Referral & Enrollment Tracking:
o Maintain up-to-date records of enrolled and un-enrolled individuals using internal tracking spreadsheets.
o Submit and document new or updated referrals based on insurance or plan changes.
o Ensure cross-checking between insurance changes and system documentation for continued coverage verification.
• Patient Registration & Documentation:
o Complete new registrations in internal systems for referred patients.
o Coordinate with other teams to distribute medical record numbers and initiate encounter workflows.
o Route documents for scanning into patient charts under appropriate record categories.
• Administrative Support Tasks:
o Monitor trackers for newly enrolled patients.
o Update diagnosis information and communicate with records departments.
o Respond to insurance-related inquiries from staff and leadership.
o Update and verify primary care provider information in internal systems.
• Workflow Oversight & Automation:
o Support automated processes, such as data pulls from designated portals.
o Complete manual verification steps that may not be captured through automation.
• Other Duties:
o Support additional administrative responsibilities or special assignments as directed.
• Standard weekday schedule with required attendance at periodic on-site sessions.
• Participation in recurring internal check-ins and team coordination meetings.
**Minimum Qualifications/Work Experience:** One year experience in medical front office setting, 3+ years in medical office setting preferred. Bilingual English/Spanish is preferred. Excellent telephone manner and ability to deal effectively with the public. Demonstrates strong critical thinking and problem solving skills.
**Education/Licensure/Certifications:** High school diploma or GED required.
Pay Scale Information
USD $43,680.00 - USD $65,062.00

Final determination of a successful candidate’s starting pay will vary based on a number of factors, including, but not limited to education and experience within the job or the industry. The pay scale listed for this position is generally for candidates that meet the specified qualifications and requirements listed on this specific job description. Additional pay may be determined for those candidates that exceed these specified qualifications and requirements.
