GENERAL FUNCTIONS:
The Assistant Registrar will be responsible for database accuracy and integrity. They will be assigned to complex technical projects, which may have major campus-wide impact. All projects will require the applications of computer technology to solve problems and advance the functions of the College. The Assistant Registrar will be the person accountable in the Registrar's absence.
SPECIFIC RESPONSIBILITIES:
Participate with other administrative offices in the testing and implementation of technology-based student systems, upgrades, patches, and new enhancements.
Perform tasks related to ad-hoc reporting, batch processing, and research information upon request.
Produce formal documentation of business practices and system interdependencies.
Assist with the development and maintenance of policy/procedure manuals at the department level.
Participate in the review of business processes and operational procedures and assist with formulating recommendations to improve effectiveness and efficiency.
Maintain and process all changes to new and revised curriculum worksheets. Enter curriculum information in the College's Degree Audit System for the production of degree audits.
Troubleshoot Banner software problems as related to the Records Office and serve as Banner liaison between Records Office personnel and Information Technology Services.
Contribute to training main campus and campus center staff as it relates to registration and grading.
Attend Curriculum Committee meetings and advise on the effects of curriculum changes with respect to student's success to degree.
Review degree audits for graduation candidates and coordinate appropriate Banner updates and deficiency communication.
Provide graduation data to Board of Trustees, the President of the College, Academic Senate, and the Office of Student Engagement & Inclusion.
Collaborate with the Office of Institutional Research and Planning to submit SICAS Degrees Awarded Data Submission (DADS).
Assist with other Records Office functions when needed.
Provide supervision for daily operations and decisions in the absence of the Registrar.
Other duties as assigned.
Job Requirements:
QUALIFICATIONS:
Education
Bachelor's Degree OR Associate's Degree in a related field.
Experience
Minimum of three (3) years' experience (or five years with Associate's Degree) of related working experience, including experience with accessing and extracting data from an integrated database system, such as Ellucian Banner. Experience in a registrar's office and at the community college level preferred.
Knowledge, Skills & Abilities
Experience with and knowledge of current practices and standards in academic records management for community colleges. Knowledge of federal laws, regulations, and reporting requirements relevant to student records. Knowledge of institutional research and demonstrated data analysis and reporting skills. The successful candidate must demonstrate the ability to convey technical knowledge to non-technical personnel as well as the ability to work collaboratively with a diverse population of students, faculty, and staff. Must demonstrate a strong commitment to student success, diversity and inclusion.

RELATIONSHIPS:
This position reports to the Registrar. The Assistant Registrar will work closely with all offices that use the Banner Student software, including, but not limited to Admissions, Records, Advisement, Financial Aid, Institutional Research and Planning, Business Office, concurrent enrollment (ACE), and the BEST (Business Employee Skills Training) Center. The Assistant Registrar will be an active member of all appropriate IT Governance committees associated with the display of Banner information (e.g., the Administrative Systems and Data Integrity Committee) and will attend Academic Senate.
SALARY AND CONDITIONS OF EMPLOYMENT:
This is an in-person, Batavia campus-based, year round appointment. This position is Full Time at 35 hours a week and is compensated at a rate of $50,351.92/annual. Salary, benefits, and conditions of employment are set by the Genesee Educational Association (GEA) contract. Occasional evening and weekend hours may be required.
