Description
Are you a highly organized, tech-savvy professional who thrives in a fast-paced environment? Our client, a dynamic organization located in La Jolla, CA, is seeking an experienced Executive Assistant to provide high-level support to senior leadership. This role is perfect for someone who enjoys multitasking, problem-solving, and acting as the right hand to executives.
Key Responsibilities:
+ Manage complex calendars and schedules for executives, prioritizing meetings and ensuring efficient time management
+ Handle all aspects of travel arrangements, including booking flights, accommodations, and coordinating itineraries.
+ Prepare business correspondence, presentations, and reports for internal and external meetings.
+ Act as a liaison between executives and internal/external stakeholders, maintaining professionalism and diplomacy.
+ Manage confidential information with discretion, ensuring sensitive data is safeguarded
+ Coordinate and execute high-level team meetings, events, and initiatives, including preparing agendas and minutes.
+ Anticipate the needs of executives by tracking deadlines, following up on action items, and ensuring they have all necessary resources.
+ Assist with light project management duties and support cross-functional workflow optimization tasks.
+ Provide administrative support to ensure operational efficiency across departments as needed
Requirements
+ 5+ years of experience as an Executive Assistant or in a similar high-level administrative role.
+ Exceptional organizational and time-management skills, with the ability to juggle competing priorities.
+ Strong written and verbal communication skills, paired with attention to detail.
+ Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Familiarity with project management tools and CRM platforms is a plus
+ A proactive approach to problem-solving, with the ability to anticipate needs and act independently.
+ Proven discretion in handling confidential information and an aptitude for working with executive-level professionals.
+ A positive, team-oriented mindset and the ability to build strong relationships across the organization.
