Job Summary
1. Prepares invoices for payment with assistance of accounting staff and communicates with vendors as necessary.
2. Prepares invoices and purchase orders for Research Foundation and Upstate Foundation.
3. Prepares correspondence on behalf of the Chairman and Practice Administrator.
4. Schedules and prepares interviews for new medical faculty, to include travel arrangements and coordinating with other departments.
5. Maintains web site on Upstate University platform and performs edits as necessary.
6. Maintains providers profiles on Find A Doc.
7. Maintains department social media sites.
8. Works with marketing office to create, design and distribute marketing materials.
9. Creates and distributes quarterly department newsletter.
10. Work requires both ability to work independently and as a team.
11. Handles variety of administrative matters involving contact with various staff, medical staff, government agencies, insurance carriers and the public.
12. Maintains files and assists in establishing office organization systems.
13. Arranges appointments, meetings, and conferences.
14. Completes medical staff applications and on boarding for medical providers. DEA and NYS license and on boarding new providers.
15. Assists with on-boarding new employees, volunteers and residents.
16. Assists with residency program administrative tasks.
17. Other duties as assigned.
Minimum Qualifications:
Bachelor's degree in business, healthcare administrative or equivalent experience in related field with two years administrative experience. Will consider equivalent combination of education and experience.
Preferred Qualifications:
Prior experience in Cascade, Microsoft Office Applications (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat. Epic reports and Slicer Dicer, solid telephone etiquette and customer relations; work in a team environment; operating office equipment; prior experience in organizational matters, including time management, prioritization, multitasking, and problem-solving.
Work Days:
8:00 am - 4:30 pm M-F
