    Description

    We are looking for an experienced Administrative Assistant to work REMOTELY and join our team on a long-term contract basis. This role involves supporting daily office operations, managing schedules, and ensuring efficient communication across departments. The ideal candidate will bring strong organizational skills and a proactive approach to handling administrative tasks.

    Responsibilities:

    + Coordinate logistics for learning sessions, including reserving rooms, ordering supplies, arranging catering, and managing A/V needs.

    + Create and manage sessions in Workday Learning.

    + Track registration, coordinate with facilitators, and assist in session planning, including pre-session calls and communication.

    + Manage participant rosters, print and organize training materials, and track inventory.

    + Send communications and reminders to participants, managers, and facilitators before and after sessions.

    + Address inquiries from employees and managers via HR, L& OE, or RFT mailboxes.

    + Record attendance and completions in LMS; generate reports from Workday, ServiceNow, and Zoom as needed.

    + Maintain accurate participant data by retrieving new hire information and updating portals.

    + Schedule Zoom meetings and generate attendance reports.

    + Distribute, collect, and report on pre- and post-session surveys.

    + Support SharePoint content management and internal chargeback processing.

    + Manage the L& OE shared mailbox and assist facilitators with travel and expense reporting.

    + Compile metrics and data for reporting, including contributions to the L& OE Data Book.

    + Create and manage purchase orders, track invoices, and run employee reports from Workday.

    + Format and manage event data in CVent.

     

    Requirements • Proven experience in administrative support roles, with a focus on office functions and reporting.

     

    • Proficiency in Microsoft Office Suite, including Excel and Word.

    • Familiarity with platforms like Zoom and Workday for virtual meetings and administrative tasks.

    • Strong organizational skills and attention to detail in handling financial notes and purchase orders.

    • Ability to manage multiple tasks simultaneously and meet deadlines.

    • Excellent communication skills, both written and verbal, for effective interaction with suppliers and internal teams.

    • Experience with creating training materials and metric reporting.

    • Knowledge of logistics, catering coordination, and materials handling is a plus. TalentMatch®
