Description
TITLE: WIC Intake Specialist
SUPERVISOR: Director of WIC
CLASSIFICATION:Non-Exempt; Full-time (37.5 hours per week). Hybrid position after completion of training (in office at least two days per week)
WORK SCHEDULE:Monday, Tuesday, Thursday, Friday, 8:00 AM - 4:00 PM; Wednesday, 10:30 AM - 6:30 PM. Some flexibility may be required.
RATE OF PAY:$16.41 per hour
POSITION SUMMARY:The WIC Intake Specialist supports the mission, goals and objectives of Community Health Center of the North Country by providing staff support to the Women, Infants, and Children (WIC) Program. This employee determines program eligibility for potential participants. Assists nutrition staff with collecting height, weight, and hemoglobin data on infants, children, and women. The WIC Intake Specialist also assists with clerical duties, outreach and WIC core services.
RESPONSIBILITIES:
1.Responsible for maintaining a safe environment for visitors and staff.
a. Demonstrates an understanding of and adheres to all safety and infection control policies and procedures
b. Completes annual mandates and health assessments.
c. Recognizes potential problems and corrects or reports to supervisor immediately.
d. Abides by all Department of Health and agency policies.
2.Responsible for participating in and supporting performance improvement activities.
a. Serves on QI teams when requested.
b. Assists in the QI process by cooperating in surveys, data collection, and other activities.
c. Seeks opportunities for process improvement and initiates as appropriate.
3.Responsible for complying with programs and agency policies and procedures.
a. Obtains and evaluates qualifying documents to determine program eligibility.
b. Evaluates household status, including verifying adjunct programs for all family members.
c. Documents all referrals in NYWIC.
d. Enters data into NYWIC to complete categorical, residential, and income eligibility.
e. Offers application for voter registration per policy.
f. Informs participants of their Rights and Responsibilities, including an introduction to the WIC Program.
g. Ensures participant is informed of what is needed for the next appointment.
h. Is familiar with WIC Program Policies in order to answer or direct participants’ questions.
i. Follows WIC Policies regarding proper use and handling of WIC equipment.
j. Promotes farmers’ markets through the utilization of Farmer Market Checks.
k. Promotes and supports a breastfeeding-friendly environment.
4.Responsible for performing anthropometry and hematology.
a. Understands requirements for obtaining heights, weights, and hemoglobin to complete a WIC appointment.
b. Performs heights, weights, and hemoglobin using proper technique.
c. Informs nutrition staff and documents any unusual behaviors, physical condition, and/or deviation from using proper technique.
5.Responsible for providing core services.
a. Supports participants in their decision to breastfeed, refers to the Enhanced Peer Counselor Program, and assists in providing a breastfeeding-friendly environment.
b. Promotes all types of appointment availability, including: in-person appointments and phone appointments available in extended hours and lunchtime appointments, as well as online appointments.
c. Participates in outreach activities to expand caseload and Agency visibility.
6.Responsible for assisting in the maintenance of a smooth flow at the clinic.
a. Perform office duties as directed by the Director when appropriate to enhance the flow of clients.
b. Use time appropriately to complete other office duties such as following up with no-shows, making reminder calls, mailing consent forms, and other assigned duties.
c. Maintains the neatness of the office and clinic areas.
7.Responsible for WIC and agency communications.
a. Reviews all NYS DOH memos/WIC Watch/policies available in NYWIC.
b. Accesses CHCNC emails and responds accordingly.
c. Maintains CHCNC updates via agency newsletter and memos.
d. Maintains knowledge of information provided at staff meetings (if unable to attend, obtain from co-worker or meeting minutes).
e. Keeps open communication with co-workers and the Director to improve workflow on a daily basis.
8.Responsible for training and Quality Assurance.
a. Attends and participates in all mandatory trainings.
b. Keeps documentation of trainings up-to-date per Local Agency Policy.
c. Performs quality assurance as instructed by the Director.
d. Assists in training new staff.
e. Develops and utilizes customer service and participant-centered skills.
f. Is cross-trained to cover all areas of the clinic to avoid a gap in services and maintain clinic flow (ex., answering phones, scheduling appointments, assessing and communicating participants’ needs, voter registration, auto-dialer, etc.).
9.Responsible for ordering clinic supplies.
a. Anticipates and requisitions clinic supplies.
b. Stocks supplies for clinic use.
10.Responsible for ensuring all participant medical, financial, social, and personal information is held in confidence.
11.Responsible for temporary clinic responsibilities as assigned by the Director.
a. Prepare supply boxes for the clinic.
b. Check out and check in cards.
c. Safe lifting and carrying of heavy equipment.
d. Assist in the transportation of staff and supplies to WIC clinics.
e. Set-up and tear-down clinics.
12.Responsible for performing other duties as assigned.
Requirements
1. High School Diploma
2. Valid driver’s license
3. Must maintain at least 6 credit hours of pertinent WIC training per year.
4. Excellent customer service and communication skills
5. Positive attitude and high energy, quick learner, flexible, and a resourceful problem solver
6. Ability to travel between both counties (St. Lawrence and Franklin) and to training.
7. Ability to work in the office and remotely.
8. Medium work; Ability to lift and carry up to 25 lbs.
9. Excellent hand-eye coordination.
10. Ability to sit for long periods of time.
11. Ability to tolerate extensive exposure to a computer monitor/screen.
12. Ability to tolerate extensive use of a computer keyboard.
