    Description

    We are looking for a highly skilled and resourceful Executive Assistant to provide dedicated support to the Provost's office and the broader leadership team within a dynamic higher education forward thinking university. This is a contract position based in Baltimore, Maryland, offering an opportunity to work in a fast-paced environment that values professionalism, discretion, and efficiency. The ideal candidate will play a pivotal role in ensuring seamless administrative operations and effective communication across finance-related departments.

    Responsibilities:

    • Serve as the primary administrative support for the Provost, managing schedules, communications, and daily operations.

    • Handle complex calendar management, including scheduling meetings, coordinating travel arrangements, and ensuring deadlines are met.

    • Prepare, proofread, and edit reports, presentations, and official communications with a high level of accuracy and professionalism.

    • Maintain strict confidentiality when handling sensitive financial, personnel, and administrative information.

    • Facilitate logistics for department-wide meetings, events, and trainings, ensuring materials and preparations are complete.

    • Provide backup administrative support for other members of the leadership team, ensuring smooth day-to-day operations.

    • Support payroll, finance, and student accounts teams with tasks such as data entry, tracking deadlines, and maintaining accurate records.

    • Organize travel arrangements and process expense reports for finance personnel, ensuring compliance with organizational policies.

    • Assist in preparing financial presentations and Board-facing materials for internal and external audiences.

    • Contribute to special projects, including event coordination, audits, and strategic planning initiatives as assigned.

     

    Requirements • Proficiency in Microsoft Office Suite, including Word, Excel, and Office 365.

     

    • Experience with Workday Financial Management and Workday Payroll systems.

    • Strong skills in budget monitoring, management, and related processes.

    • Ability to handle expense reporting and maintain detailed documentation.

    • Familiarity with scanning and document management tools.

    • Proven ability to work in educational institutions or non-profit environments.

    • Excellent organizational and managerial oversight capabilities.
