*POSITION TITLE: EXECUTIVE ASSISTANT TO THE DISTRICT ATTORNEY* *Position Summary:* The Executive Assistant to the District Attorney provides high-level administrative and confidential support to the District Attorney including assisting in managing daily communications, scheduling, and special projects. This position requires exceptional organizational skills, discretion with sensitive information, a high degree of professionalism, and the ability to manage a diverse range of administrative tasks. *Key Responsibilities*: Administrative and Executive Support: Provide comprehensive administrative support to the District Attorney (DA), including managing all correspondence, scheduling, and meeting coordination. Screen and triage telephone calls, direct inquiries to appropriate departments, deescalate irate callers, and navigate sensitive or complex complaints professionally. Maintain and manage executive Outlook calendars for the DA; schedule meetings, community-related appointments, and internal functions. Perform other administrative duties as assigned by the District Attorney or Senior Management Team. Time and Attendance Management: Enter employee time and attendance data in the internal time-off calendar and the Human Resources Compensation Management System (HRCMS). Maintain accurate and up-to-date employee leave calendars and resolve any discrepancies that may arise. Monitor time-off usage patterns, accrual balance shortages, and employee leave status; notify the Director of Human Resources & Operations of concerning trends or irregularities. Process all time-off request forms to ensure compliance with office policies and procedures. Oversee the annual rollover of employee accrued time, ensuring accuracy and seamless transition into the new year. Document & Case-Related Processing: Process Conference Request Forms, ensuring completeness and compliance; obtain necessary approvals from DA, Deputy DA, or First Assistant DA; forward to Fiscal Unit. Handle Grant of Immunity paperwork both incoming and outgoing: For incoming requests: verify defendant status in BOP and DAMION, obtain signatures, and return to requesting agency before deadlines. For outgoing requests: organize materials from Assistant District Attorneys, coordinate with relevant offices and agencies, track responses, and return completed packets to the ADA. Prepare and submit Administrative Subpoenas from law enforcement or ADAs using appropriate telecommunications portals; follow up to ensure receipt and timely dissemination of results. Serve as the liaison for Massachusetts State Police (MSP) Crime Lab monthly lab reports and evidence submission forms; identify appropriate case contacts and distribute accordingly. Certificates, Reports & Miscellaneous Duties: Create and print certificates for participants who complete the DDTP (Drug Diversion Treatment Program), Juvenile Diversion Program, conferences, trainings, and internships. Participate in professional development and ongoing training opportunities.
