    Position Summary:

    The Oncology Referral Coordinator position processes insurance pre-verification for hospital admissions or specialty service office visits. Gathers pertinent information from patients, insurance carriers, financial counselors, and other staff to confirm the patient's financial obligations for services. Acts as a liaison between hospitals, clinical staff, health plans, providers, and patients to process referrals. In an information management system, documents referrals, communications, actions, and other data. Generates and distributes all applicable forms, notifications, and paperwork: researches and resolves registration and case-related issues.

    Minimum Qualifications:

    + High school graduate or equivalent

    + Three (3) years of relevant experience

    + Preferred: Bachelor degree

    + Preferred: Prior experience using Epic or other scheduling, records, and registration software

    + Preferred: Prior work experience in a patient care setting

    Essential Job Functions:

    In addition to the essential functions of the job listed below, employees must have on-time completion of all required education as assigned per DNV requirements, Bozeman Health policy, and other registry requirements.

     

    + Provides administrative support and coordination for all aspects of patient care for new oncology referrals.

    + Recognizes emergencies and appropriately responds using standard operating procedures and critical thinking skills.

    + Collaborates with oncology nurse navigators and clinic nursing to ensure timely records requests related to referral.

    + Provides program-specific information to callers and refers calls as necessary.

    + Schedules new patient appointments related to treatment within Bozeman Health Cancer Center and communicates schedule directly to patients.

    + Provides information to the patient regarding the need for insurance referral(s) and refers calls as appropriate.

    + Update patient and caregiver contact information in Epic when needed.

    + Collects and enters patient demographic and insurance information and enters into registration databases.

    + Communicates with providers (physicians, APP, etc.), and nurses regarding the patient's scheduling needs, treatment schedule, and additional requests. Notifies appropriate parties as needed.

    + Manages and prioritizes scheduling requests.

    + Supports the overall function of the department, and may be required to take on additional duties such as cross coverage, special projects, etc.

    + Strong interpersonal, verbal, and written communication skills

    + Analyzes, organizes, and prioritizes work while meeting multiple deadlines

    Physical Requirements

    + Lifting, Pushing, and Pulling: Lift 30 pounds of weight (pick up supplies, move equipment, etc.) Carry equipment/supplies.

    + Extended Hours: The role may involve working for extended periods, requiring sitting, walking, or standing for eight or more hours daily.

    + Flexible Schedule: The position may necessitate working beyond a standard 40-hour workweek, including weekends and after-hours shifts.

    + On-Call Availability: On-call work may be required to respond promptly to organizational, patient, or employee needs.

    + Effective Communication: Proficient in effective communication, both in person and through various technologies.

    + Handling Challenging Situations: The role may involve dealing with upset individuals, requiring the ability to de-escalate situations and work effectively with frustrated patients, families, or employees.

    + Repetitive Tasks: Ability to perform repetitive tasks as needed to fulfill job responsibilities.

     

    Exposures

    Tasks Include Potential Exposure: Job tasks may involve exposure to:

    + bloodborne pathogens, such as blood, bodily fluids, or tissues.

    + radiation in settings where medical imaging procedures are performed.

    + various chemicals and medications used in healthcare settings. Job tasks may involve handling cleaning products, disinfectants, and other substances.

    + infectious diseases due to contact with patients in areas that may have contagious illnesses.
