    Job Summary

    Summary: Provides general office support via a variety of clerical activities and related tasks. Answer incoming calls and directs calls to appropriate associates. Greets and directs visitors.

     

    Provides high-level internal and external customer supportEnsure every guest is greeted with enthusiasm and has a memorable experienceSpeak freely and warmly, engaging clients and guests while efficiently checking them in at the Reception Desk and contacting their hostDevelop and maintain an understanding of the client culture, key areas of activity, and creating "transparency" by serving as an extension of the clientManage closely all activity in the internal visitor greeting process. Must be knowledgeable on all daily meeting as up-to-the-minute changesMaintaining arrivals list and following security procedures/protocolsLearn and memorize the names and faces of VIP executives and their assistants, assuring name usage and personalized service when encountering these VIP'sRespond to inquiries and anticipate client or guest needsHandling on-floor conference room activities, both visually and by means of the reservation system, being aware of meeting start and end times, attendees in the room, food or beverage orders, etc. Advising the appropriate staff members of changes in meeting room status, special requests, etc.Answers telephone calls and directs callers to appropriate associatesTakes and retrieves messagesProvide callers with general information, including company address, directions, and other related information, while maintaining the appropriate level of confidentialityAdhering to dress code as designated by the clientOpens and/or closes reception areaGeneral administrative supportPerforms other duties as assignedEssential Duties and Responsibilities:

     

    + Answers telephone calls and directs callers to appropriate associates.

    + Takes and retrieves messages.

    + Provides callers with general information, including company address, directions and other related information.

    + Greets and directs visitors in a friendly, professional manner.

    + Uses intercom/voicemail system to announce appointments and calls.

    + Receives, sorts and forwards incoming mail; coordinates the pickup and delivery of packages and mail.

    + Opens and closes visitor area.

    + Performs other duties as assigned.
