Description
Position Summary
The Scheduler is responsible for coordinating and scheduling psychological evaluations for job applicants and employees affiliated with various government agencies and defense contractors. This role utilizes Charm EHR to manage appointment coordination, ensuring accuracy, efficiency, and compliance with organizational procedures and client requirements.
This position will be based on-site in our corporate office with the potential to transition to a hybrid schedule after training.
Schedule: Monday through Friday from 8 - 4:30.
Core Responsibilities
+ Schedule virtual psychological evaluations and manage related coordination in Charm EHR with accuracy and timeliness.
+ Communicate psychologist availability and coordinate appointments with candidates and employees via email.
+ Ensure completion of all required assessments prior to scheduled evaluations.
+ Monitor and respond to emails promptly, providing professional support to clients, psychologists, and team members.
+ Maintain accurate records using Charm EHR and Excel; assist in tracking and reporting appointment data.
+ Proactively follow up with unresponsive individuals to ensure scheduling and service completion.
+ Support the lead scheduler and team with additional administrative tasks as needed.
+ Address and resolve scheduling concerns in a timely, customer-focused manner.
+ Understand contract requirements and documentation to ensure compliant and efficient scheduling.
+ Uphold compliance standards (OIG, JC, EOC) and ensure data accuracy to support positive clinical outcomes.
+ Deliver excellent customer service by phone and email to all individuals involved in the evaluation process.
+ Participate in outreach efforts and support strategic and operational initiatives as assigned.
Requirements
+ High school diploma or GED required
+ Minimum of one year of experience in scheduling, record management, or a related administrative role.
+ Strong computer proficiency, including experience with Electronic Medical Records (EMR), Microsoft Office 365, and SharePoint.
+ Excellent attention to detail with the ability to manage multiple tasks, prioritize effectively, and work independently in a desk-based setting.
+ Demonstrated high-quality customer service, communication, and organizational skills.
+ Strong verbal and written communication skills in English.
+ Professional, energetic demeanor with a self-motivated and focused work ethic.
