Job Summary and Qualifications
GENERAL SUMMARY OF DUTIES – Supports Medical Director, Program Director, and Nurse Manager. Is responsible for the daily function of the unit with regard to functions as a member of the unit team and accepts responsibilities for assigned duties including clerical work, chart documentation, projects, communication and representing Women’s Services on various committees.
DUTIES INCLUDE BUT ARE NOT LIMITED TO
1. Manage the physical environment of the unit
+ Receive, screen and redirect phone calls to appropriate staff/department.
+ Screen visitors before entering into women’s services/NICU.
+ Open, sort and distribute correspondence.
+ Schedule Meetings and record minutes.
+ Maintain thorough documentation following hospital policy and procedures and JCAHO standards.
1. Appropriately utilize resources related to clerical duties
+ Use Meditech proficiently.
+ Use Secretary template within CPN proficiently.
+ Complete birth certificates, notarize birth certificates, enter into state system, collect checks and send to State of VA for processing.
+ Communicate with Obestrical practices and obtain prenatal records for patients planning on delivering at SRMC.
+ Communicate with preadmission testing, patients scheduled for upcoming procedures.
+ Maintain patient schedule book, be able to schedule procedures on unit.
+ Review and enter billing charges daily.
+ Enter Kronos when needed.
1. Effectively communicate pertinent information to appropriate individuals
+ Accurately maintain the patient medical record: use universal chart order and prepare admission/discharge charts as indicated.
+ Ensure timely and accurate communication of patient information with all members of the treatment team.
1. Maintain and communicate with staff and visitors
+ Assist charge nurse in maintaining efficiency on the units.
5.Order and maintain appropriate levels of supplies
+ Monitor and order office supplies.
+ Monitor and order special order medical supplies
+ Monitor and order nourishment supplies.
+ Monitor and order specialty forms.
6.Compile daily/monthly statistical reports
+ Prepare statistical reports.
+ Collect and report monthly quality information (i.e code cart logs, terminal cleaning logs, transporter log)
7.Participate in orientation of new employees
+ Represent the unit at hospital committee meetings as assigned and report actions.
EDUCATION
+ Required: High School Diploma or equivalent.
EXPERIENCE
+ 1 year of office experience, preferably in a hospital/medical setting
+ Previous Women’s service experience or knowledge preferred
