Summary
Responsible for the development and implementation of specific engineering projects as assigned by the Engineering Manager and Manager of Technical Administration.
Essential Duties/Responsibilities
Performs administrative tasks such as research, analysis, arranging staff and customer schedules, customer queries and correspondence, work with vendors and contractors, and reviews contracts and other documentation.
Coordinate with internal teams involved in engineering projects and participate in the planning, design and development of such projects.
Assist with input content from individual engineers to capture design data, including all calculations and reports.
Support Estimates to Complete (ETC) for Engineering work. Review projects based on project schedule, task status reports and Requests for Engineering Assistance (REAs) to assist with update of ETCs. Input weekly information into spreadsheets to help Project/Program Managers maintain ETCs.
Track and maintain Engineering Project Task Assignment Report. Keep track of any open problems and coordinate with the responsible Engineer, Engineering Manager and Project/Program Manager.
Attend Design Review and other technical meetings.
Receive and track documents from customers and vendors via electronic transmittals. Transmit and track department documents to customers and vendors. Maintain logs of documents received/sent to/from the department.
Maintain and track Engineering Specification Library content. Maintain company subscriptions to professional associations/organizations necessary for access to standards.
Provide administrative support to the Manager of Technical Administration, Engineering Manager, Engineers. Support Engineers, Designers/Detailers/Drafters, and Product Data Management (PDM) Administrator.
Track and/or take minutes/notes during department meetings. Keep project files up to date to include meeting minutes/notes.
Coordinate with Document Control and track completion/revisions to engineering drawings (i.e., as-built revisions, redline revisions, etc.). Assist Manager of Technical Administration to keep engineering documents up to date.
Keep track of International Traffic in Arms Regulations (ITAR) data, transmittals and record destruction to provide company with traceability and compliance.
Coordinate with parent company (Atec Inc.) to track nondisclosure agreements (NDAs) between company and vendors/sub-contractors. Aid department team by ensuring NDAs are executed before confidential and/or proprietary information is transmitted to vendors and/or sub-contractors.
Maintain tracking log for engineering department software licenses and renewals.
Log, review, track, distribute and process all Engineering Change Proposals (ECPs), Drawing Change Notices (DCNs), Deviations (DEVs), REAs, and Procedure Change Notices (PCNs).
Create Inventory Masters in the ERP system for new part numbers as requested by employees.
Develop and update Bill of Materials (BOMs) in the ERP systems as released by Project/Program Managers or Engineering.
Track and advise management on required/assigned training schedule for the Engineering Department.
Maintain vacation/out of office status for the department and coordinate with internal personnel for distribution of employee vacation/out of office status. Advise Manager of Technical Administration of conflicts with Employee Manual.
Perform other related duties, as assigned, for the purpose of ensuring an efficient and effective work environment.
Ensure activities are conducted in accordance with Vital Link International Standards Organization (ISO9000) policies and correct and report any deviations to appropriate area manager/supervisor.

Understand required ISO9000 specific Procedures and Work Instructions.
Complete all records required by Procedures and Work Instructions.
Participate in Vital Link Continuous Improvement activities as appropriate.
Participate in ISO9000 training as required.
Cooperate with Auditors.
Report any deviations to appropriate area manager/supervisor.
Education and/or Experience
High school diploma or General Education Degree (GED) and minimum 2 years' experience providing technical and documentation support to personnel working in an engineering or drafting department.

Physical Demands
Employees are frequently required to stand, walk, sit, and occasionally reach with hands and arms, stoop/kneel to file, and lift and/or move up to 35 pounds.
Work Environment
Noise level in the work environment is usually moderate.
Extended work hours and/or travel may occasionally be required.
