Overview
The Administrative/Executive Assistant will provide administrative support to assigned senior executive(s) in a professional, efficient, and confidential manner. The position will require discretion, judgment, tact, poise, and the ability to prioritize and be proactive in anticipating the business needs of the assigned senior executive(s). The Executive Assistant must possess superb time management skills, excellent verbal and written communication skills, a productive approach toward work, and a strong sense of urgency.
Responsibilities
+ Provide support with a high degree of initiative, confidentiality and professional demeanor
+ Maintain poise to project a professional image with diplomacy and creativity in work strategies
+ Maintain calendars using Microsoft Outlook with little input. Schedule meetings using knowledge and good judgment of priorities.
+ Expense reporting – Travel and Expense preparation and submission via SAP or similar system
+ Input weekly timesheets, maintain up to date status on department timesheets and vacation calendars
+ Manage executive travel needs including scheduling travel, securing hotel reservations, booking plane tickets/rental cars, monitoring travel schedules and provide back up plans as needed
+ **Manage and plan onsite and offsite events including catering, location identification, hotel partnerships, identifying vendors, and other logistical needs**
+ **Create and collaborate on Google Slides and PowerPoint presentations, with a command of effective information and slide design**
+ **Build effective, professional relationships with co-workers, clients and business partners**
+ Perform duties and projects as assigned by senior executives
Qualifications
+ 2+ years of in office experience in an administrative+ capacity
+ Proficiency in Microsoft Office (Excel, Word, PPT and Outlook) _and_ Google Suite (Google Slides, Sheets, Docs) is required
+ Excellent communication skills
+ Strong organizational and project management skills
+ Attention to detail and accuracy
+ Excellent judgment, problem solving and decision-making ability
+ Excellent relationship building skills
+ Ability to handle sensitive and confidential information with integrity
+ Ability to multi-task and prioritize; demonstrated agility and flexibility
+ Passion and enthusiasm for the position, and building a career in a creative industry.
