    Job Summary and Qualifications

     

    The Vendor Resource Management (VRM) Operations Manager is responsible for preparing/monitoring forecast volumes and scheduling/coordination/queue monitoring of production coding resources to assure accounts available for coding are coded within SUMM days. The VRM Operations Manager ensures the coding worklists are monitored daily; the vendor scheduling database and scheduling tools are maintained; ensures timely and accurate communication of schedules and schedule changes on a weekly/daily basis to the vendors; identifies areas of risk to volumes; ensures queue concerns or resource changes are communicated to the HSCs as needed; ensures vendor coder productivity and daily/weekly/monthly completion volumes are tracked and monitored. The VRM Operations Manager is expected to interact with HIM, Coding, and Abstraction Leadership to ensure resources are allocated appropriately. The VRM Operations Manager is responsible for the oversight of vendor user access and appropriateness of access via audits. The VRM Operations Manager is also actively engaged in continuous process improvement activities to enhance unbilled, financial performance and corporate contribution.

    What you will do in this role:

    + Responsible for maintaining unbilled through the daily monitoring of coding production queues

    + Generates and updates vendor volume projections as needed based on trending data

    + Monitors the queue management dashboard at least twice per day, including weekends on an as needed basis

    + Provides direct managerial oversight to production coding vendors and Coordinator in management of coding work queues, work processes, and overall work responsibilities

    + Provides oversight of the scheduling of production coding resources appropriately according to established need as provided by HIM, Coding, and Abstraction Leadership

    + Manages the scheduling of all coder levels and/or by patient types based on allocation and/or queue need within the VRM scheduling tool

    + Works closely with VRM Leadership to determine resource needs

    + Oversees communication on resource schedules with the vendors on a daily/weekly/monthly basis

    + Maintains a working knowledge of the schedule throughout the week/day and validates that coders are working in the correct locations. Monitors vendor compliance working accounts first in, first out.

    + Monitors vendor productivity through daily vendor reports and CAT data

    + Provides oversight to ensure vendor volume dashboard is updated daily

    + Communicates vendor productivity and addresses scheduling questions or concerns on the weekly vendor calls or through email as needed

    + Assures queue management data is collected and added to the vendor volume dashboard for trending and analysis purposes

    + Manages the onboarding and tracking of vendor staff and maintains accurate vendor staff list

    + Manages the eSAF system access process for the VRM Team and production coding vendors

    + Sends quarterly vendor staff validations to ensure compliance and accuracy

    + Coordinates data pulls for various current and historical vendor data and productivity/queue volume reports on an as needed basis for VRM Management

    + Pulls, compiles, and monitors vendor turnover volumes

    + Reviews monthly vendor invoices for accuracy and promptly sends them to leadership for approval and processing

    + Manages all month end processes by ensuring month end volumes get pulled and sent to the vendors, month end accrual information is sent to leadership, vendor overage deductions are reviewed, missing accounts are reviewed, CAC rates/accruals are calculated, account data not included in CAT (Citrus, CPART, eRequest, and quality discounts) is pulled and any adjustments are applied that are approved by leadership

    + Responsible for oversite of mailbox issues related to pend account and aging accounts in queue escalations

    + Responsible for monitoring, escalating, and assisting in resolution of system issues reported by the production coders

    + Works collaboratively with the other VRM Coding Managers to assign work across the team, on projects and to solve issues

    + Partners with HIM, Coding and Abstracting Operations, and project management to execute project plans as they impact production coding for facility acquisitions

    + Provide subject matter expertise on coding resource management in the areas of scheduling, staffing, productivity, queue management, and volume projection activities

    + Develops and analyzes various statistical reports and logs

    + Assures ad hoc and regularly scheduled reports are assembled and distributed timely

    + Provides guidance and oversight in retrieving, organizing, and reporting data

    + Facilitates problem solving and collaboration within functional area(s)

    + Coaches and helps develop team members; helps resolve dysfunctional behavior and promotes teamwork within functional area(s); disciplines and counsel staff as necessary

    + Proactively manages (including corresponding communications and escalation paths) significant issues in coding, status of projects, barriers, and successes

    + Assists in identifying and implementing process improvements to decrease costs and improve service for applicable stakeholders

    + Performs productivity monitoring and provides timely and consistent feedback to coding vendors

    + Promptly reports issues or trends to the VRM Leadership

    + Coordinates work assignments with management and co-workers to achieve operational goals

    + Creates and maintains job aid documents for manager and coordinator tasks

    + Ensures safe, ergonomic, and confidentiality compliant practices are being followed within the work environment

    + Establishes and maintains good working relationships with the vendors and customers

    + Practices and adheres to the “Code of Conduct” philosophy and “Mission and Value Statement”

    + Other duties as assigned

    What you will do in this role:

    + Undergraduate degree required. Bachelor’s degree strongly preferred. Equivalent work experience may substitute education requirements.

    + 2 years of previous leadership experience preferred

    + Proven work experience in areas of database creation/management/analysis, process reengineering, and scheduling strongly preferred

    + Healthcare and HIM experience strongly preferred
