With the creation of our new umbrella organization we now have our own identity with a unique payroll, benefits, performance management system, service recognition programs and other common practices across the system.*__* *_Position Summary:_* This position supports the Clinical Resource Management (CRM) Team and reports to System Director of Clinical Resources Management. This Position is primarily Monday – Friday, Days, with flexibility in scheduling required. This position contributes to the overall success of the organization by providing multi-dimensional, complex administrative support in a manner which requires self-direction, creativity, and independent and discretionary judgment. **_Position Responsibilities:_** *Key areas of responsibility* 1. Schedules meetings and manages the calendars of multiple leaders. 2. Manage the day to day needs of the CRM team, including maintaining office supply inventory and ordering. 3. Ensuring physician advisor credentialing and nursing licenses are up to date. 4. Assists in reserving conference rooms for CRM leadership and staff. 5. Drafts and submits mileage and business expense forms on behalf of Director of Clinical Resources, CRM Physician Advisor and CRM team. 6. Assists with the onboarding and off boarding of new team members under the direction of manager. Including, but not limited to, ordering of IT equipment, completion of network access forms, inclusion of employee in relevant meeting series and coordination of meet and greets with key staff members. 7. Orders and set-up of food and beverages for CRM Meetings. Plan and event management including RSVP and picking up food, etc. Set clear expectations when help is needed and ensure obtaining appropriate way of payment prior to. 8. Creates, prepares and distributes meeting materials to attendees, including: reports, agendas, PowerPoint presentations, meeting minutes. 9. Participates in annual budget review with director and monitors/tracks monthly budget expenses 10. Manages the CRM Physician Advisor and CRM team schedules – including but not limited to helping creating schedule, sending to appropriate admin staff for physician advisor team, entering sick call outs and entering into Kronos accurately. 11. Updates Team SharePoint sites to maintain updated content. (attendance, feedback, minutes, ie) Uploading/scanning mail to necessary location when needed. 12. Welcomes visitors and meeting attendees to office/suite, showing to appropriate offices and conference rooms. Accepting and distributing all mail correspondence. 13. Performs other related duties or special projects related to supporting the Clinical Resource Management team. *_Working Relationship:_* *This Job Reports To (Job Title):*System Director Clinical Resource Management **Education** · Minimum:High School Diploma or equivalent · Preferred:Associates Degree or equivalent combination of education and experience. Advanced computer skills preferred **Experience** · Minimum: o Experience working in a dynamic, fast paced environment o Experience in calendar scheduling for executives o 2 years’ experience working in an administrative/supporting role · Preferred: 3 years’ experience working in an administrative/supporting role **Language Skills** · Exceptional customer service skills · Effective verbal and written communication skills **Knowledge, Skills and Ability Requirements:** · Demonstrates strong organizational skills with attention-to- detail and the ability to handle high volume/multiple tasks · Displays enthusiasm and confidence and the ability to motivate others · Demonstrates ability to work independently/autonomously and within a team, recognizing opportunities to make meaningful contributions towards business goals · Proficient in Microsoft Office (e.g., Word, Excel, PowerPoint, Outlook) · Demonstrates leadership and takes initiative to contribute and accept responsibility as needed**** · Presents confidently and competently to individuals and groups in private and public settings *_We take great care of careers._**__* With locations around the state, Hartford HealthCare offers exciting opportunities for career development and growth.
