UPMC Corporate Legal is seeking a detail-oriented and proactive Executive Assistant to join our team in a temporary capacity. This assignment will last up to six months and offers the potential for full-time hire based on departmental needs and individual performance.
As an Executive Assistant, you'll play a key role in supporting our Legal Department. This is an excellent opportunity to contribute meaningfully while gaining valuable experience at UPMC!
The Executive Assistant will work Monday through Friday during the hours of 8:00 AM to 4:00 PM or 9:00 AM to 5:00 PM. This position will have the opportunity for hybrid work after training has been completed.

Responsibilities:
+ Answer phones and direct all incoming calls to appropriate party promptly and efficiently.
+ Arrange travel schedule and reservations for executive management as needed.
+ Compile information for the timely preparation of reports and distributes to appropriate individuals within established timelines.
+ Exercises discretion and independent judgment with respect to matters of significance
+ Interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.
+ Maintain accurate filing systems with the highest regard for confidentiality, organization, and timely retrieval of documents.
+ Performs responsibilities directly related to the management or general business operations of UPMC (i.e., supporting Executive VP of Corporate or Sr VP of Corporate).
+ Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
+ Process incoming and outgoing mail. Maintains confidentiality of mail addressed to the president.
+ Record and distribute minutes and other relevant information to appropriate participants in a timely manner.
+ Responsible for calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex executive meetings.
+ Use sound judgment and knowledge of UPMC and its policies and procedures to respond to questions, requests, or needs.
+ High School Diploma strongly preferred.
+ Recent graduate from a program with a concentration in Law preferred.
Preferred Experience:
+ Eight years plus secretarial experience in progressively responsible job situations preferred as well as five years supporting at the executive level preferred.
+ OR Three years of administrative experience and/or legal support experience.Licensure, Certifications, and Clearances:
