    The Licensing Coordinator will assist with tracking new and current employee security and/or private investigator licenses (including training requirements), working with internal stakeholders (i.e. human resources and company division supervisors) and will engage in the process of obtaining applications and related documents from applicants. The coordinator will also assist with tracking licensing and training requirements needed to follow both company and local legal requirements. This position will support the overall successful delivery and execution of security-related services and be a part of the legal and compliance team.

    Responsibilities

    + Represent Pinkerton’s core values of integrity, vigilance, and excellence.

    + Coordinate agent applications and answer requests to assist with licensing applications by directly communicating with designated field agents to obtain, complete, return, and submit the appropriate application for the field agent’s role.

    + Request, receive, screen, and verify documents and information acquired during the application process in accordance with local and federal laws governing the retainment of protected personal information.

    + Manage the lifecycle of required training in accordance with the company’s guidelines and local law to ensure compliance with licensing requirements. Directly communicate with designated agents to notify, schedule, and track outcome of training program completion.

    + Retrieve and retain training documents for Pinkerton.

    + Communicate with senior leadership and company divisions on application statuses both regularly and as needed for escalation.

    + Ensure deadlines are met for applications, training, and audits of related records.

    + Track and report outcomes of applications as follows: Sending application information to requesting individuals/teams. Receiving and documenting application information as directed. Monitoring application outcomes in real-time, including start to finish times. Monitoring costs of applications by region. Detecting and preventing licensing lapses through communication with Agents and/or Supervisors.

    + Process and prioritize emergency and non-emergency requests for licensing application and training assistance and respond accordingly.

    + Comprehend and execute new operational technologies placed within the workspace.

    + Enter, update, and retrieve information from multiple computer systems.

    + Process and maintain a wide variety of files, logs, reports, and forms (soft and hard copy).

    + Draft incident and quality reports based upon first-hand interaction/direct involvement in events if needed or as directed.

    + Maintain in-depth knowledge of licensing and training requirements by use of company-based resources, data warehouses, and limited open-source resource and adhere to the reporting and escalation procedures as instructed.

    + Perform metrics tracking, data entry, and electronic reporting as assigned.

    + Support all department and Company goals and objectives.

    + All other duties, as assigned.

    Qualifications

    High School Diploma or GED required; associate or bachelor’s degree preferred. Minimum of two years of communications, data management, analyst and/or security administrative related experience.Customer service experience is a plus.
