General Statement
The Dean’s Office Business Operations Manager ( BOM ) provides high level of administrative support to the operation of various departments within the College of Letters and Science. This includes providing fiscal oversight and budget management for several interdisciplinary academic programs within the College, including monitoring expenditures, managing Pcard activity, performing analyses, providing budget projections, and reallocation of resources when necessary; coordinating events, and administering the day-to-day operations of the programs. In addition to these duties, the BOM supervises student assistant, provides high-level administrative support to the College’s two Associate Deans and will provide general administrative assistance to the Dean’s Office. The BOM must have appropriate knowledge of both CLS and MUS policies and procedures, as well as the ability to handle sensitive, confidential, and emergency situations effectively.
Duties and Responsibilities
Operations Manager
+ Oversees the daily functions, services and operations of the American Studies program ( AMST ), the MSU Writing Center, the Women’s Gender and Sexuality Studies minor ( WGSS ), and the CORE at Night program.
+ Provides high-level administrative support to the Associate Deans, by supporting, coordinating, and implementing initiatives managed by the Associate Deans.
+ In collaboration with the Assistant to the Dean, coordinates onboarding and training for the College’s Business Operations Managers.
+ Oversees property management including: sensitive and minor inventory tracking, and disposal of surplus property.
+ Oversees website development, maintenance and support in coordination with the Dean’s Office and University Communications for programs under this position’s purview.
+ Directly supervises one student employee in the office.
Fiscal Manager
+ Manages accounting and budgeting operations for the Dean’s Office and programs under the position’s purview.
+ Serves as account manager for purchasing card transactions, including monthly report compilation.
+ Processes faculty travel and student scholarships.
+ Serves as departmental liaison with College of Letters and Sciences Fiscal Services for the centralized accounting services.
Conference and Event Organizer
+ Supports faculty and staff to make arrangements for events, conferences, and lectures, including securing facilities, preparing schedules, promoting events, and, where appropriate, arranging for food, lodging, and transportation. This may include participating in events as on-site staff.
HR Liaison
+ Serves as the first contact person for hiring and payroll issues.
+ Creates and processes various types of appointments, for faculty (tenure track and non-tenure track), staff, graduate and undergraduate students.
+ Processes tax forms and all required new employee forms, conducts pre-payroll audits, reconciles payroll, submits EPAF’s, and approves timesheets.
Required Qualifications – Experience, Education, Knowledge & Skills
+ Bachelor’s degree or progressively responsible administrative/office management experienceor an equivalent combination of relevant education and experience.
+ Demonstrated experience organizing and prioritizing multiple work assignments, meeting deadlines and exercising adaptability with a high degree of accuracy and close attention to detail.
+ Demonstrated competence managing fiscal and budget records, generating multiple reports and communicating complex information effectively.
+ Demonstrated proficiency in Microsoft Word, Excel, Access, PowerPoint, Outlook, and other relevant computer software.
Preferred Qualifications – Experience, Education, Knowledge & Skills
+ Demonstrated experience using human resources principles, practices, and techniques including hiring and payroll oversight.
+ Progressively responsible management experience.

Position Special Requirements/Additional Information
This is a full-time – 1.0 FTE position (40 hours per week). Occasional work on nights and weekends is required for onsite event management.
