This position will entail skillful and proactive calendar management for Vice President and Direct Reports as needed. Meeting coordination across group’s executives and external partners. Exhibits excellent judgment in handling confidential information and act with professionalism at all times. Performs a variety of complex administrative and project-oriented duties & responsibilities. Prioritizes activities and takes action based on understanding of departmental objectives, matrix partner needs and business strategy. Effectively assists with managing ad-hoc projects as needed.
Key responsibilities:
Responsible for accomplishing multiple complex administrative tasks with minimal supervision. Responsible for effective delivery of diverse administrative support including management of dynamic calendars and management of access for staff inside and outside department
+ Providing administrative support to Head of Precision Medicine, Bioanalysis and Translational Sciences as well as, as needed, Executive Directors for day-to-day operations as well as individual projects as needed
+ Calendar management and meeting organization, document formatting, arrange travel itinerary and related activities, congress coordination, keeping track of congress attendance
+ Keeping track of Vice President’s availability and absence (summer hours coverage, vacations, year-end coverage)
+ Responsible for scheduling and organising various events and other meetings
+ Organizing administrative systems to support department members including filing/ records retention and other functions as required
+ Personal expense management (Concur System) for Vice President including Credit Card/ Cash enquiries and receipt claims
+ Provide support as needed for HR-related/ facilities-related matters for the team including interview organization, new hires process, new employees onboarding, including updating Staffing Database,
+ Supporting the team for budget change request and study number request (workstream owner)
+ Providing administrative support to Executive Directors reporting into the Vice President as needed
Education and Experience:
+ Bachelor’s degree required; advanced degree or certification in administration or project management preferred.
+ Minimum 4 years of experience in executive-level administrative support, preferably in research, academic, or scientific environment
In some cases, an equivalency, consisting of a combination of appropriate education, training and/or directly related experience, will be considered sufficient for an individual to meet the requirements of the role.
Knowledge, Skills and Abilities:
+ Strong interpersonal skills, be a team player and be willing to work in an environment where individual initiative and accountability to the team are required
+ Strong organizational and time management skills with attention to detail.
+ Experience supporting senior leadership in a matrixed or global organization.
+ Ability to anticipate needs and proactively solve problems. Must be able to work with limited day to day supervision
+ Strong proficiency in Microsoft Office Suite, SharePoint, and virtual collaboration tools
+ Excellent written and verbal communication skills
+ Fluent in English
+ Ability to function productively in a fast paced and rapidly changing environment
