    Looking for a FT Program Coordinator

     

    Department: Radiation Oncology

     

    Schedule: M-F Day/Hybrid

    Summary:

    The Program Coordinator will support the department of radiation oncology through scheduling and administrative duties for the Osteoarthritis program (OA). Patients of the OA program will receive radiation treatments at PPMC under the care of a Radiation oncology provider and clinical team. These patients will be scheduled and triaged by the Program Coordinator by performing record collection, scheduling and prior insurance authorizations utilizing multiple EMR’s (EPIC and Aria). The Program Coordinator will also be involved with the Spacer/Fiducial and Brachytherapy programs at PCAM. The responsibilities will include capacity management, workflow optimization and overall procedural scheduling practices.

    Responsibilities:

    The position is also responsible for preparing and presenting operational and financial results to service providers as well as departmental leadership.

     

    Continually assesses operating procedures and proactively implements action to assure ongoing quality improvement.

     

    Resolves all patient complaints. Implements action to minimize recurrence. Performs trend analysis.

     

    Maintains exemplary relationships with staff using positive and constructive feedback, open lines of communication, and assists in problem solving in daily operational activities of staff.

     

    Communicates regularly and acts as a resource to office staff regarding the practice, the department, and the Health System through monthly staff meetings, in-services, and distribution of minutes.

     

    Establishes patient focused performance expectations by creating clearly defined performance goals and measures.

    Maintains a patient oriented practice environment

    implements changes as indicated. Monitors waiting areas and the practice floor for improved patient oriented practice and patient comfort.

     

    Ensure exceptional quality with regard to patient access initiatives and metrics, physician and staff satisfaction.

     

    Creates strategies to enhance patient, referring physician, and employee satisfaction, increase patient volume, reduce no-show visits, and enhance the practice’s image and visibility by soliciting input as well as performing analysis.

     

    Serve as specialty expert of nuances of care coordination so that patients are seen by the appropriate physician and specialty

    • Schedule new patient appointments with appropriate physician and/or group with emphasis on working with providers on a regular basis to ensure that the right diagnosis and patient is scheduled with appropriate provider.

    • Coordinate/organize all facets of new patient appointment – scheduling, coordination of medical records, test results, pathology results – all information needed to ensure an optimal level of care coordination.

    • Reschedules new patient appointments appropriately.

    • Coordinate the retrieval and flow of outside medical records to ensure receipt and appropriation (review by provider, scanning, etc.) of records for visit.

    • Utilization of radiation oncology EMR (Aria) and Epic is required

    Education or Equivalent Experience:

    + H.S. Diploma/GED (Required)

    + 7+ years Healthcare related experience (Required)

    + Associate of Arts or Science (Preferred)
