Job Title: Administrative Assistant Job Description
We are seeking a dedicated and skilled Administrative Assistant to provide comprehensive support for the director of the Environment & Sustainability (E&S) department. The ideal candidate will possess a high school diploma and have over three years of relevant experience, showcasing their ability to manage multiple tasks efficiently.
Responsibilities
+ Provide administrative support for the director of the Environment & Sustainability department.
+ Manage the director's calendar, expense reports, and travel arrangements including flights, hotels, car rentals, and meals.
+ Coordinate departmental meetings and events, handling catering, room set-up, and breakdown.
+ Procure and maintain office and breakroom supplies, and oversee office equipment such as PCs, laptops, copiers, and printers.
+ Manage purchase requests, check requests, and invoice processing and reconciliation.
+ Serve as department timekeeper using Oracle PaySource.
+ Reconcile expense reports using Oracle Expense.
+ Maintain department documents and participate in record retention efforts.
+ Ensure adherence to administrative, accounting, and compliance procedures.
+ Provide backup assistance to other administrative support personnel.
+ Perform miscellaneous administrative assignments as directed.
Essential Skills
+ Experience in an administrative support role in an office environment, preferably assisting director or manager level personnel.
+ Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, SharePoint, and OneNote).
+ Experience with accounting software, preferably Oracle.
+ Strong interpersonal, written, and verbal communication skills.
+ Excellent planning and organizational skills.
+ High School Diploma or Equivalent required.
Additional Skills & Qualifications
+ College experience or degree desired.
+ Strong organizational and time management skills with the ability to prioritize and multi-task.
+ Ability to interact professionally with various position levels and personalities.
+ Strong listening skills with the ability to concentrate and demonstrate patience.
+ Ability to work independently, make decisions, and proactively seek solutions.
+ Exercises independent judgment, confidentiality, and discretion.
+ Delivers assignments with a high degree of accuracy and timeliness.
+ Ability to build relationships and work effectively in a team environment.
+ Willingness to take instruction and maintain a positive attitude in an administrative support role.
Work Environment
This position requires working onsite at the SCS headquarters. The work environment involves collaboration with internal and external clients, management, and department employees. The role demands professionalism and adaptability to various personalities and position levels.
Job Type & Location
This is a Contract position based out of Birmingham, Alabama.
Pay and Benefits
The pay range for this position is $28.00 - $33.00/hr.
