Transitions & Summer Operations Assistant
The **Transitions & Summer Operations Assistant** collaborates with the Assistant Director of Housing Operations to support Boston College’s summer housing portfolio and coordinate the successful opening and closing of the residence halls during transition periods. This role is charged with providing a positive experience for summer students, students attending orientation, domestic and international conference guests, and Jesuit conference groups. This staff member assists in the recruitment, interviewing, hiring, and management of summer student and graduate staff. This position assists in all activities related to the coordination of the Summer Housing and Conference program, including key/access management, procurement, and budget management, welcome center supervision, room/building preparations, and other customer service needs.
This position assists with management of the opening and closing of residence halls for the Fall, Spring, and Summer sessions, including the daily correspondence and data for all early arrivals and extensions. As a member of the housing operations team, the Transitions and Summer Assistant will be called upon to support a variety of departmental needs including but not limited to supporting short-term or one time housing needs related to conferences and events as well as short term relocation of students during the academic year and summer. In addition, this role serves as part of the administrative support team for the department, including answering telephones, taking messages, responding to various shared email accounts, and indirectly supervising 10-12 front desk student staff. This role additionally participates in an on call rotation providing support specifically around the residence hall card access system.
Primary Areas of Responsibility
+ Effectively communicate with students, families, guests, and campus stakeholders about operational processes related to summer housing and transitions via email, phone, and in meetings.
+ Assist with the coordination and execution of the opening and closing of the residence halls, including correspondence and data tracking for all early arrivals and housing extensions at the beginning and end of the Fall and Spring semesters.
+ Collaborate with campus partners, including but not limited to BC Police Department, Facilities Management, Parking & Transportation, Information Technology and other offices, to ensure the preparation and readiness of the residence halls for summer guests and hall openings.
+ Coordinate the recruitment, interview, selection, and training process for all summer staff positions. Assists with the overall supervision and management of 140 summer staff employees.
+ Directly supervise and oversee the daily management and operations of a summer student staff group.
+ Procure supplies for summer operations and assist with the management of the summer operations budget. Ensure accurate records and thorough audit of all supplies (linens, toiletries, staff uniforms, access cards, etc.).
+ Learn and gain excellent working knowledge on the use of StarRez (housing system) for summer housing, camps, and conference management, student applications, and the tracking and reporting of housing data.
+ Train the Summer Resident Directors and Graduate staff on summer operations policies and procedures.
+ Serve in a summer on-call rotation with other staff members to respond, document, and independently create solutions for issues of building, student, or group safety.
+ Provide departmental administrative support which includes answering telephones and taking messages, responding to various shared email accounts, and indirectly supervising 10-12 front desk student staff.
+ This position entails some evening and weekend overtime.
+ This role participates in an on call rotation providing support specifically around the residence hall card access system.
Each staff member in the Division of Student Affairs is expected to support division and university-wide initiatives, staff events, and serve on committees as needed.
Hiring Range: $24.12/hour to $30.14/hour. Pay rate commensurate with relevant experience.
Requirements
+ A Bachelor’s Degree is strongly preferred.
+ Comprehension and appreciation of the Jesuit values and mission, and the traditions and heritage of Boston College.
+ Strong leadership, communication, critical thinking, and interpersonal skills.
+ Ability to work in a fast-paced, higher education environment.
+ Excellent computer skills required, including working knowledge of Microsoft Office applications.
+ Experience with databases or housing management software (StarRez) is preferred.
+ Valid driver's license required.
+ This position will requires periodic evening and weekend overtime.
+ Must be able to lift, carry, and move items weighing up to 50 pounds, using proper safety precautions to protect personal and team safety.
