Project Coordinator – Job Description
Overview:
Reporting to the Project Manager, the Project Coordinator plays a key role in supporting the successful execution of projects by managing administrative tasks and facilitating communication among stakeholders. This includes coordination with owners, general contractors, vendors, and field teams, as well as overseeing the release and organization of project documentation to align with scheduling needs.
Key Responsibilities
+ Organize and distribute project-related communications and documentation, including bid invitations, contracts, purchase orders, schedules, and construction documents
+ Assist with initial project setup tasks such as job request forms, insurance certificates, and cloud-based document management
+ Schedule team meetings, record minutes, and complete required project templates
+ Prepare and submit bid proposals and forms to clients, owners, and general contractors
+ Monitor construction costs including contracts, change orders, scope changes, and client invoicing
+ Track procurement activities such as vendor/subcontractor orders, submittals, approvals, material releases, and invoices
+ Support field teams with documentation needs including drawing revisions, RFIs, permits, panel directories, and work breakdowns
+ Contribute to the development and maintenance of project-specific work breakdown structures
+ Assist with project scheduling by reviewing timelines, establishing task dependencies, and managing resource allocation for labor and materials
+ Compile and submit close-out documentation including O&M manuals, as-built drawings, warranties, certificates, and test results
+ Perform additional duties as assigned by management
Qualifications & Skills
+ High school diploma or equivalent required; bachelor’s degree preferred
+ Prior experience in construction project coordination is a plus, but not mandatory
+ Proficiency with standard office equipment (copiers, scanners, plotters, phones, etc.)
+ Strong working knowledge of Microsoft Outlook, Word, and Excel
+ Familiarity with Microsoft Project is beneficial but not required
+ Excellent written and verbal communication skills
+ Ability to work collaboratively in a team environment
+ Strong organizational skills with attention to detail
+ Capable of troubleshooting and managing systems, processes, and procedures
+ Self-motivated with a positive attitude and ability to perform under pressure
Pay and Benefits
The pay range for this position is $27.00 - $42.00/hr.
