    Job Summary

    The FrankelInstitute for Heart and Brain Health (https://ihbh.medicine.umich.edu/home) (IHBH), led by Dr. Tony Rosenzweig, Director, and Professor in the Department of Internal Medicine, Division of Cardiovascular Medicine at the University of Michigan, Ann Arbor, MI is in search of an Administrative and Projects Specialist. The IHBH is situated in the heart of Michigan Medicine at the North Campus Research Complex in a newly renovated laboratory building within steps of a multitude of research resources, easy access to collaborators, and shared facility amenities.

     

    This role will support the mission of the Frankel IHBH through high-level administrative, operational, and programmatic management. The ideal candidate will be collaborative, organized, and detail oriented.

    Responsibilities*

    Administrative & Faculty Support

    + Provide high-level calendar and administrative support to the Director and Managing Director.

    + Assist with CV updates, order placement, scheduling, room bookings, and administrative forms for hiring and onboarding.

    + Act as the Institute?s main office-based point of contact, managing contracted equipment, office supplies, service requests, and placing supply and laboratory orders.

    + Organize travel and hospitality for faculty, staff, and guests.

    + Reconcile accounts and submit expenses via university systems, including P-Card, hosting, and shared services.

    Operations & Project Coordination

    + Manage multiple ongoing projects, coordinating responsibilities, timelines, and communication across internal teams and external partners.

    + Lead operational process improvements in hiring, onboarding, ordering, and administrative workflows.

    + Collaborate with other university departments and centers to develop shared processes and ensure alignment with institutional policies.

    + Prepare written materials such as committee reports, donor updates, and internal presentations for senior leadership and funding partners.

    + Ensure consistency and professionalism across all communications and deliverables.

    Program & Event Management

    + Coordinate faculty and postdoctoral recruitment visits, including travel arrangements, itineraries, and onsite logistics.

    + Plan and execute research community events and guest speaker series, including communications, A/V support, catering, and follow-up.

    + Support event logistics and communications for the Institute?s educational and donor-related programming.

    + Support the Multidisciplinary Pilot Award Program and the Neurosciences Graduate Program Student Scholar.

    Required Qualifications*

    + Minimum of 4 years relevant business office experience in an administrative capacity or combined relevant education and experience with demonstrated progression of administrative positions.

    + Ability to organize and coordinate a diverse workload, meet deadlines in a timely manner while demonstrating flexibility when priorities change

    + Must be detail oriented and organized with demonstrated ability to prioritize and multi-task.

    + Proficiency in Microsoft Outlook, Word, Excel and Power Point.

    + Demonstrated positive work ethic and strong sense of teamwork/problem solving.

    Background Screening

     

    Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
