As part of our continued expansion, we are looking for a detail-oriented and motivated Accounts Payable Specialist to join our collaborative Finance team.     Position Summary

    The Accounts Payable Specialist will be responsible for managing the full-cycle accounts payable process, ensuring timely and accurate processing of vendor invoices, employee expense reimbursements, and payment disbursements. This role requires excellent organizational skills, attention to detail, and a proactive approach to problem-solving.

    Key Responsibilities

    + Process high-volume vendor invoices accurately and efficiently in the accounting system.

    + Review and verify invoices, ensuring proper coding, approvals, and compliance with internal policies.

    + Manage weekly payment runs (ACH, wires, and checks) and ensure timely disbursement.

    + Reconcile vendor statements and resolve discrepancies in a timely manner.

    + Respond to vendor inquiries and maintain positive vendor relationships.

    + Process employee expense reports and ensure adherence to company policy.

    + Assist with month-end closing procedures, including accruals and account reconciliations.

    + Maintain organized AP records for audit and reporting purposes.

    + Support internal and external audits with documentation and reporting.

    + Collaborate with procurement, finance, and other departments to ensure process efficiency.

    Requirements

    Qualifications

    Required:

    + 2–4 years of accounts payable experience in a corporate or mid-sized business environment.

    + Proficiency in accounting software (e.g., NetSuite, SAP, Oracle, QuickBooks).

    + Strong Microsoft Excel skills (pivot tables, VLOOKUP, data sorting/filtering).

    + Excellent organizational and time-management skills.

    + High attention to detail and accuracy.

    + Strong interpersonal and communication skills.

    + Ability to maintain confidentiality and exercise discretion.

    Preferred:

    + Associate’s or Bachelor’s degree in Accounting, Finance, or a related field.

    + Experience with expense management platforms (e.g., Concur, Expensify).

    + Knowledge of GAAP and internal control practices.

    + Familiarity with 1099 processing and California sales/use tax.

     

    Work Environment & Schedule

     

    + Hybrid schedule: 3 days onsite in San Mateo office, 2 days remote.

    + Standard hours: Monday to Friday, 8:00 AM – 5:00 PM.
