The Supervisor of Patient Access is responsible for overseeing and directing all Patient Access staff. Maintain staff schedule, distribute daily work assignments and ensure responsibilities are completed, monitor appropriate bed placement of patients, and maintain an efficient flow of patients through the registration process. Interact with physicians, physician’s office staff, patients and patient’s families, and hospital staff throughout various departments while maintaining a high degree of professionalism and positive customer relations.
EDUCATION AND EXPERIENCE REQUIREMENTS:
Education:
+ High School Diploma or equivalent required. Associate’s Degree preferred.
Experience:
+ 3 years of managerial experience in a healthcare setting is preferred.
+ Knowledge and understanding of hospital and physician office operations and functions required.
+ Must be proficient with system and data integration, database management, spreadsheets, computer graphics, and generating standard reports.
+ Strong leadership and team building skills required.
RESPONSIBILITIES OF THE POSITION:
+ Overseeing and directing assigned departmental staff, maintain staff schedule, distribute daily work assignments and ensure responsibilities are completed, monitor appropriate bed placement of patients, and maintain an efficient flow of patients through the registration process.
+ Ensures patient registrations are completed in an accurate and timely manner, monitors quality and makes recommendations to improve the process.
+ Monitors departmental supply orders to ensure budgetary goals are met.
+ Support programs related to Patient Access and Patient Information Services.
+ Recognizes and performs responsibilities for all Ellis Medicine operations and services including both Hospital and EMG operations.
+ Supervisors all areas where Emergency Department patients register and/or check in, improves patient flow and ensures staff is providing patients with the proper supporting documentation.
+ Ensures staff is following procedures for all areas performing pre-registration and scheduled services as it relates to identification of out of pocket balances and collection procedures.
+ Coordinates and integrates activities within all Patient Access areas including Registration, Scheduling, Financial Counseling, Insurance Facilitator, Information Desk and Call Center pre-registration areas.
+ Communicates effectively with patients, patients’ families, visitor and staff throughout various departments and responds promptly to requests and concerns to achieve quality patient care and excellent customer services.
+ Facilitates in gathering accurate patient billing information.
+ Performs collections of patients with outstanding accounts receivable. Accurately estimates the patient liability (copayments, deductibles, co-insurances, deposits, etc. via obtaining accurate demographic and financial information.
+ Receives and processes patient payments. Maintains necessary change drawer to properly service and receive payments.
+ Answers patient inquired regarding their liability and being able to explain the variables involved.
+ Properly receipting and forwarding all copies of patient payment receipts posting to the patient’s account in Sorian Financials.
+ Perform end of day duties closing and reconciliation duties in Sorian Financials and reconcile deposit slips.
+ Responsible for handling patient expirations; scheduling of autopsies, notification of funeral homes, completion of death certificates by attending physicians in a timely manner, provide customer service to families, and deceased pickups occur in a timely manner.
+ Provide Director with monthly statistics to assist in the reporting of quarterly quality assurance measurements.
+ Discussed patient and staff related issues only in a confidential manner and setting with only those who have a right to know.
+ Ensures staff adheres to all policies and procedures, assists in developing and implementing procedures with an emphasis on automation and electronic initiatives, and establish and maintain competencies for all staff as it relates to point of service activities.
+ Provide oversight for overall recruitment, talent retention, performance and compensation management, High-Middle-Low assessments, staff and professional development, employee training, and career advancement.
+ Oversees department’s performance improvement initiatives and prepares and updates statistical reports in preparation for JCAHO, health department or any other federal, state, local or regulatory agency inspections or requirements.
+ Establishes and sets the expectation with staff the importance of a safe working environment by performing safety audits and inspections, conducting safety training. Adheres to the legal, safety, health, fire, and sanitation codes, by being familiar with fire, safety, and disaster plans.
+ Provides training for new and existing staff.
+ Coaches and provides ongoing feedback to employees, administers disciplinary actions and job expectations.
+ Demonstrate strong supervisory, leadership, and communication skills, adhere to the Making Ellis Exceptional Standards, and initiate, promote, and support change initiatives.
+ Participates in Ellis Medicine employee survey, share survey results with staff, and focus on key indicators of improvement and development an action plan.
PHYSICAL REQUIREMENTS:
+ Should be able to push/pull, lift/move 15 lb., be able to perform moderately difficult manual manipulations such as using a keyboard, writing, and filing for extended periods of time, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photo copiers. Mobility requirements may include the ability to be stationary at a workstation for a prolonged period time in addition to being able to squat or be mobile for a reasonable length of time and distance. Communication requirements include the ability to comprehend the spoken English language in addition to being able to communicate and read the English language.

Salary Range: $20.21-29.31 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
