    Reporting to both the Disease Center Physician Leaders and the Vice President of Inpatient and Ancillary Services, the Administrative Director (AD) of the Division of Oncology Hospital Medicine coordinates all administrative aspects of the department for Hospitalist and Nocturnist faculty. The AD is responsible for ensuring all clinical and business operations are exceptionally and seamlessly managed. Serving as the liaison for both Institute and Departmental issues, the AD is tasked with developing and implementing strategic plan and clinical growth initiatives as well as fiscal and human resources management. The AD will play key role in preparation for the opening of the Future Cancer Hospital.

    This position’s work location is hybrid with two or three days per week remote. The selected candidate may only work remote days from a New England state (ME, VT, NH, MA, CT, RI).

    Staffing and Personnel Management

    + Coordinate faculty offer and retention packages, provider onboarding, training and credentialing.

    + Administratively responsible for entire Clinical/Disease Center (Payroll, Occupational Health, Compliance).

    + Ensure appropriate administrative staffing levels for departmental business operations.

    + Responsible for hiring and training all administrative support staff and providing ongoing training and career development opportunities.

    Financial Oversight and Planning

    + Maintain and regularly report out on the financial portfolio of operating, grant, clinical trial and discretionary/gift accounts.

    + Prepare and monitor operating budgets, identify and address budget variances monthly.

    + Assess productivity reports and calculate provider bonuses.

    + Manage and provide oversight of expenses, departmental reimbursement, and invoices.

    + Track sessions, maintain accurate clinical effort reports and process med-fees.

    Strategic Initiatives

    + Work closely with the Medical Director and VP on institute and departmental strategic initiatives, supporting short-term and long-term goals.

    + Identify and engage key stakeholders to ensure alignment and execution of strategic priorities.

    + Collaborate and leverage resources to support the planning and implementation of major department and institute initiatives, ensuring an effective roll-out of new initiatives across the department, institute, and other organizations, as necessary.

    + Provide high-level project management support for new and ongoing initiatives, ensuring milestones, deliverables, and timelines are met.

    + Create and maintain status reports, issue and decision logs, and timelines for communication of projects to all stakeholders.

    + Analyze, prepare, and summarize data and information in a presentable format (Excel, PowerPoint, etc.) for the Chair, leadership team, and stakeholders.

    + Identify process improvements and drive efficiencies across administrative and operational functions within the department.

    + Research industry trends and best practices to support the Chair in developing innovative strategies for departmental growth and advancement.

    Department Operations

    + In collaboration with executive and clinical leadership, provide non-clinical administrative leadership for the department’s future cancer hospital planning initiatives for the department.

    + Develop and execute administrative policies and procedures to improve operating efficiency and review and update policies, as necessary.

    + Participate in quality initiatives and operational process planning and implementation for the department.

    + Act as an intermediary, sharing information and facilitating the development of communication systems for leadership, physicians, and staff as directed.

    + Provide operational analytics and reporting to track department performance and inform decision-making.

    Calendar and Office Management

    + Serve as a liaison for the Department, other institute departments, and outside vendors as a partner for answering questions, fostering connections, and fulfilling requests.

    + Organize and coordinate speakers, visitors, and key leaders to for educational events, interviews, and other leadership meetings. Manage complete coordination of events, finalize details, and meet and welcome visitors in a courteous manner as a first-line representative of the department.

     

    SUPERVISORY RESPONSIBILITIES:** **Will manage administrative staff.

     

    + Bachelor’s degree required.

    + 8-10 years of progressive administrative/project management experience required.

    + Healthcare experience at an Academic Medical Center preferred.

    + Inpatient Operations experience a plus.

    + Managerial/supervisory experience strongly preferred.

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

    + Proactive, strategic thinker with the ability to effectively manage multiple priorities, build strong relationships across the Institute, and drive key initiatives forward while maintaining operational excellence.

    + Extremely strong organizational skills.

    + Detail oriented.

    + Ability to maintain confidential/sensitive information.

    + Proficiency in Word, PowerPoint, and Excel skills.

    + Ability to think pro-actively and work independently.

    + Ability to effectively work on multiple projects at the same time.
